Special Assistant/Scheduler

EMILY's List, the nation's largest financial resource for women candidates, is searching for a Special Assistant/Scheduler to the President. Throughout its 30 year history, the organization has recruited and trained over 9,000 women to run, worked to elect 110 pro-choice Democratic women to the House, 19 to the Senate, 11 governors, and over 700 women to state and local office. EMILY's List has also helped elect every single Latina, African American, and Asian American Democratic Congresswoman currently serving.

Principal Responsibilities

The Special Assistant manages the President's office and the strategic planning of the President's schedule, including extensive travel. This position also manages the information flow to and from the President's office and works with every department in the organization to ensure that the President has all relevant information in a timely manner. This position develops and implements a system for answering a heavy volume of correspondence and telephone calls and works with other departments to develop long and short term scheduling plans for the President.

Specific Duties

  • Manage President's schedule and provide overall administrative support;
  • Arrange travel logistics and produce itineraries;
  • Work with other departments to implement short-term and long-term schedule for President; make recommendations for travel options and schedule pro-actively with other departments;
  • Manage scheduling and logistics for all major donor and political meetings and travel and work with Development staff to plan major donor meetings and travel;
  • Serve as gatekeeper to the President and act as liaison between President, Executive Director and department heads;
  • Assist President in development-related tasks including call time and event follow-up, introduction emails and proposals;
  • Monitor department budget; receive and pay all necessary invoices for President's office;
  • Handle all other administrative and logistic needs such as compiling all briefing materials for trips, speeches, and meetings;
  • Review President's mail and draft correspondence;
  • Meet daily with President to relay all intra-office documents, mail, speaking requests, etc.;
  • Screen all speaking requests;
  • Ensure that President has all necessary materials in a timely manner;
  • Maintain President's filing system;
  • Serve as a liaison for Board meetings and calls, and assist with Board as needed;
  • Perform additional duties as assigned.

Qualifications

  • At least 3-5 years of experience assisting a high level executive or public official in a fast paced environment; 
  • Outstanding communication and analytical skills and exceptional attention to detail;
  • Ability to think on one's feet and plan ahead; anticipate needs and problems, and develop solutions with minimum guidance;
  • Ability to professionally represent the President and the organization at all times;
  • Ability to work successfully across the organizational hierarchy from Board members and department Directors to junior level staff;
  • Ability to handle multiple tasks simultaneously;
  • Ability to distinguish priorities with little supervision;
  • Significant knowledge of Microsoft Office including Word, Excel and PowerPoint;
  • Bachelor's degree and an interest in electing pro-choice Democratic women required.
