Job Scope:           

 

The Bookkeeper is responsible for day-to-day bookkeeping, including the timely processing of all receipts and disbursements, accounts payable, accounts receivable, reconciliations and journal entries.  The Bookkeeper maintains records of financial transactions by establishing accounts and posting transactions. The Bookkeeper provides administrative support to the Finance Department. 

 

Job Duties:     

 

·         Reconcile all bank statements on a weekly basis;

·         Complete payroll reimbursement billing invoices for various state WFP's, Center for Working Families, NJ WFA;

·         Manage vendor relationships and resolve billing issues;

·         Enter all check requests into the accounting database;

·         Prepare check batches to be approved for payment, cut and mail out all checks;

·         Maintain financial procedures for purchasing and billing;

·         Manage the reconciliation of all debit card accounts on a weekly basis;

·         Record Journal Entries to General Ledger including all cash receipts and inter-company wire transfers;

·         Reconcile canvass deposits with canvass database;

·         Assist the Staff Accountant and Controller with compliance reporting for NYS Board of Elections, Lobbying reporting and Federal reporting;

·         Ensure compliance with internal controls, and that all financial records are up-to-date and consistent with Generally Accepted Accounting Principles, authorizer requirements and funding guidelines;

·         Prepare various reports within due dates;

·         Maintain all up-to date files for the finance office;

·         Provide direct administrative assistance to the finance department;

·         Support fundraising by providing financial information as requested;

·         Assist the Staff Accountant and Controller with the monthly and yearly close process;

·         Provide support during the annual audit, including assisting in audit coordination;

·         Be proactive in recommending improvements to processes and procedures;

·         Perform other duties as assigned by supervisor.

 

Required education, experience, knowledge, and skills:

 

·         Accounting degree or similar combination of education and experience;

·         Demonstrates thorough understanding of double-entry bookkeeping concepts;

·         Bookkeeping experience in a non-profit organization/political party;

·         Demonstrates knowledge of Fund EZ accounting software;

·         Demonstrates knowledge of multi-entity set up within non-profit framework;

·         In-Depth experience using Microsoft Excel,  Microsoft Word and Microsoft Powerpoint;

·         Solid understanding of Generally Accepted Accounting Principles;

·         Ability to communicate financial information;

·         Integrity

Salary for this position is commensurate with the candidate's level of relevant professional experience.
