The Annie's List Operations Manager reports to the Executive Director. The position requires adherence to strict confidentiality guidelines regarding information gained in the course of employment. This is an exempt 30 hour per week position.
Duties and Responsibilities:
Administrative Duties
Maintain the travel and reimbursement plan and records for the organization.
Communicate meeting dates and reminders with the Board of Directors as well as arrange logistics for quarterly Board meetings.
Take minutes at Board meetings.
Take minutes at all-staff meetings.
General Operations
Manage routine office duties such as answering phones, handling UPS/FedEx pickups, checking mail, ensuring adequate supplies, etc.
Provide oversight for day-to-day administrative operation of the organization.
Coordinate with vendors involved in providing operational and administrative services.
Assist ED with calendaring and technology needs.
Assist ED with timely stakeholder communication.
Create and ensure maintenance of all electronic & hard files for the organization.
Development
Assist in event coordination as it pertains to handling and recording contributions, and day-of data entry. Also, provide assistance to the Development team on "day-of" event operations.
Financial and Compliance
Assist in the preparation of information and reconciliations for annual audit and compilation.
Maintain the month-by-month and annual budget for the organization.
Responsible for daily financial maintenance and bookkeeping, including reimbursements, deposits, writing checks, upkeep of vendor files and assist in oversight of the organization's bank accounts and corporate credit card.
Prepare all required reporting documents to the TEC, TWC, IRS and other state or federal agencies as required.
Update and maintain the organization's NGP donor database.
Skills & Attributes Required
College degree or commensurate experience
Ability to function in a fast-paced, fluid environment
Bookkeeping experience a plus
Ability to communicate effectively both verbally and in writing
Excellent customer service
Commitment to excellence in the workplace
Good team player
Ability to travel some and to work non-traditional hours occasionally
