Organization Overview

Planned Parenthood is the nation's leading sexual and reproductive health care provider and advocate. The Community Outreach Group is a part of Planned Parenthood, but a separate organization that supports Planned Parenthood with short-term staffing and large-scale advocacy campaigns.

General Description

Community Outreach Group is seeking an Operations Manager to streamline human resources, payroll, logistics, and finance within the national office. The Operations Manager will ensure the smooth functioning of our national programs by ensuring that every office has the physical resources they need to be successful.

 

Responsibilities:

  • Operations (50%)
    • Establish or manage relationships with Community Outreach Group's national vendors to maintain spending efficiency; procure supplies, materials, and equipment; and ensure vendors are paid on time and accurately.
    • Support the opening of new offices with research, leasing, payments, and procurement.
    • Maintain COG's centralized business records in a central, well-organized location (contracts, leases, invoices, worker's compensation, expense records, and payables)
  • Human Resources and Payroll (50%)
    • Ensure compliance to Community Outreach Group financial and HR policies by:
      • Developing and offering a weekly on-boarding training for new Community Outreach Group employees in our logistical policies and procedures, and how to use COG software expense and HR software.
      • Manage Community Outreach Group's expense reporting system (Nexonia) to create new projects as needed, provision users, and review invoices and check requests to ensure timely payment, and exercising final approval over employee expense reports to ensure transactions are coded correctly and exported to payroll or accounting system.
      • Monitor and enforce compliance with Community Outreach Group's staff policy and reporting procedures, and quality-control the national payroll process to ensure national staff are paid weekly.
    • Check Community Outreach Group voicemail and email accounts to respond to and resolve employee inquiries and payroll questions daily.

Qualifications:

Applicants for this position should bring the following knowledge, abilities, and attitude:

  • Exceptional organizational, project management, communication, and interpersonal skills
  • Ability to coordinate multiple and simultaneous projects, while maintaining attention to detail
  • Comfort with technology, including experience with spreadsheets and word processing, and willingness to learn new software
  • Knowledge of diverse groups, working with a multicultural workforce and sensitivity to and appreciation of cultural differences.
  • Positive attitude, and interest and excitement to be scrappy and get things done

We especially encourage applications from people who bring some of these additional skills or experiences:

  • Experience with political campaigns, organizing, or paid canvassing programs
  • Experience working with databases, payroll systems, and/or accounting systems
  • The ideal applicant will have 3-5 years of professional experience
  • Bachelor's degree preferred, especially if in the fields of business administration, accounting, or finance. However, there is no formal educational requirement for this position.

 

Compensation

This is a full-time, exempt, mid-level position with the Community Outreach Group, with an annual base salary between $54,000 - $66,000 depending on skills, experience, and qualifications.

Full-time exempt employees are also eligible for a cell phone reimbursement up to $75/month, and employer-paid medical, dental, and vision insurance.

This is a temporary position, with an expected end date in late 2016.
