JOB DESCRIPTION - EXECUTIVE ASSISTANT

The Progressive Change Campaign Committee is seeking an executive assistant who will work directly with our Co-Founder, Adam Green.  The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among competing priorities. The Executive Assistant will also have the ability to work independently on projects, from conception to completion, and must be able to handle a wide variety of tasks and confidential matters with discretion. The Executive Assistant will actively participate in meetings, external events, and strategic planning conversations.

Responsibilities

  • Scheduling and Travel Logistics:

    • The Executive Assistant will schedule internal and external meetings and travel arrangements for the Co-Founder. Smartly manage workflow and priorities by managing his schedule and anticipating steps ahead.

    • Plans, coordinates and ensures the co-founder's carefully planned schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for internal and external stakeholders.

    • Works closely and effectively with Co-Founder to keep him well informed of upcoming commitments and responsibilities, and follows up appropriately.

    • Understands the need to balance and protect the Co-Founder's time and competing priorities.

  • Communication needs: Often requires the ability to listen to extensive discussions and provide a concise summary of all pertinent data, red flags, and actionable next steps. Evaluates incoming issues and concerns addressed to Co-Founder and determines appropriate course of action, referral, or response. In addition, the Executive Assistant may assist the Co-Founder in writing the following:

    • Public Presentations: Craft the content for public presentations by the Co-Founder at conferences, universities, and elsewhere.

    • Written Materials: Write and edit annual reports, editorials, speeches, blog posts, and more.

  • Research: The Executive Assistant will occasionally be asked to complete research on donor backgrounds, preparation for meetings with partners, and other projects.

  • Flexibility and Resiliency: No two days are the same. Executive Assistant must be ready to roll with the punches, have a thick skin, and be willing to do whatever it takes to get the job done, including atypical hours for events and other requests. Must be open to and appreciative of constructive feedback.

  • Special Projects: This might include everything from keeping databases clean and running, sending thank you notes, as well as general organization of co-founders workflow.

  • Confidentiality: This role works closely with one of our two co-founders and requires an understanding of confidential materials and information. Ability to conduct business in a highly professional, discreet manner is paramount. Will work closely with the Chief Operating Officer on a day to day basis to carry out duties.

  • Other duties as needed. Some travel required throughout the year, particularly in the month prior to election season.

Required

  • Demonstrated proactive approaches to problem-solving with strong decision-making capability

  • Comfort and proven record with high stakes, high volume workload in any sector.

  • Strong organizational skills that reflect ability to execute and prioritize multiple tasks seamlessly with excellent attention to detail

  • Incredibly thoughtful and strategic. In an emergency you are always the calmest individual in the room and can think clearly.

  • Passionate and dedicated to bold progressive ideas and lives for change work.

  • Bachelor's degree - variety of specializations accepted.

  • Minimum of 5 years of professional experience.

Preferred 

  • While we are a national, virtual organization, we believe this role might be better served by someone living in the Washington, DC metro area. We anticipate in-person meetings with the Co-Founder and other on-the-ground needs at events. Exceptional applicants outside the DC area will be considered.
  • Executive-level or c-suite work experience

Applicants who pass the first rounds of hiring will be given a rigorous exercise to give further context to a typical day's work and what type of requests will be received.

Salary and Hiring

  • This is a full-time salaried positions, which include health care and dental.
  • Salary is commensurate with skills and experience.
  • Our team is virtual, with staff around the country.
