CPI seeks a Finance & Operations Director to effectively manage all financial and operational tasks for the organization. As a member of CPI's senior leadership team, the Finance & Operations Director will play a key role in day-to-day operations and strategic planning for CPI's future organizational development.  The Finance and Operations Director reports directly to the Executive Director and directly supervises the Administrative Assistant.

 

Position Description & Responsibilities

 

Financial Management

  • Develop and oversee accurate, effective and efficient accounting and financial systems, policies and processes that meet the current and future needs of the organization. Update all financial policies and accounting practices as necessary, including the fiscal manual. Ensure effective implementation and compliance:
    • Monitor that deposits, invoices and payments are processed in a timely, accurate manner.
    • Oversee the approval and reimbursement process for expenditures, including credit cards
    • Provide oversight of routine financial tasks, including bank reconciliations and accurate data entry and coding. 
  • Analyze and present monthly financial reports in an accurate and timely manner.
  • Oversee all financial, project/program and grants accounting; prepare financial reporting materials for foundations and other donors, as necessary.
  • Oversee and lead annual budgeting process in conjunction with the ED and the senior leadership team; administer and review all financial plans and budgets; monitor progress and changes and keep senior leadership team up-to-date on the organization's financial status.
  • Coordinate and lead the annual audit process, review and analyze results and recommend approval of the Audited Financial Statements. Liaise with the auditor and the finance committee of the board of directors; assess for the need of any necessary changes
  • Manage organizational cash flow and long term forecasting;
  • Implement an effective contracts management and financial management/ reporting system; ensure that the contract billing and collection schedule is adhered to; verify that financial data and cash flow are stable and support operational requirements.
  • Effectively communicate and present critical financial matters to the board of directors.
  • Closely collaborate with Development staff on grant reporting and revenue tracking.

Administration and Human Resources

  • Oversee and supervise the administrative function of the organization including reception, property/facility management, safety of the work environment, and provision of furnishings and equipment necessary for effective operations
  • Oversee the management of all leases, contracts and other financial commitments
  • Monitor all legislation relevant to the organization (employment standards, occupation health and safety, human rights, etc) and all regulations on professional certification to ensure that the organization is compliant
  • Ensure the organization is in compliance with all internal policies and relevant external regulations. Update all organizational policies and practices as necessary, including the organizational manual. Ensure effective implementation and compliance
  • Ensure all necessary filings are completed in a timely manner
  • Oversee annual insurance renewal and ensure appropriate coverage is maintained at all times;
  • Develop and oversee an appropriate and effective compensation system that is responsive to the organization's financial status and organizational structure
  • Oversee the payroll function ensuring accurate and efficient systems, process and controls.
  • Manage lobbying reporting.

 

Job Qualifications:

  • Minimum of five years-experience in a senior management role ideally with both external audit and in-house financial management experience
  • Must be familiar with nonprofit finance and accounting regulations
  • Energetic, flexible, collaborative, and proactive; a team leader who can positively and productively impact both strategic and tactical finance and administration initiatives.
  • Exceptional interpersonal, and presentation skills and the ability to effectively interface with senior management, board of directors, coalition members and staff
  • Demonstrated ability to create complex organizational budgets and general accounting experience including month-end/year-end close and overseeing annual audit required
  • Experience with QuickBooks required.
  • Experience or basic knowledge of 501c3, 501c4 and lobbying rules preferred.
