About the Executive Administrator position:


UltraViolet is looking for an Executive Administrator who will be a central player in the internal operations of UltraViolet, working closely with the leadership and operations teams to ensure UltraViolet is run smoothly and efficiently.


The perfect person for this job is a highly experienced administrative professional who is detail-oriented, diligent, and dedicated. You love nothing more than figuring out a system for a tough logistical problem. Handling complex meeting logistics or scheduling? You say, bring it on! Organization and planning is in your blood, but you're also nimble, flexible, and ready to roll with the punches when things change.


You are a proactive problem solver with exceptional judgment who gets things done—and done right. And, in a job where you'll be communicating on behalf of the Co-Executive Directors and other senior staff to schedule meetings, assist with human resources, and process confidential financial documents, you know how to be professional and discrete. Most of all, you should have a sense of humor and a passion for social justice, particularly the work of UltraViolet!

Responsibilities:


Reporting to the Director of Organizational Development, Holly Witherington, the UltraViolet Executive Administrator's responsibilities fall into four categories:


Executive Support:

  • Manage complex schedules for the Co-Executive Directors and other executive staff.
  • Coordinate travel plans for the Co-Executive Directors and other executive staff.
  • Coordinate and submit all timesheets, reimbursements, and expenses for executive staff.
  • Assist with weekly executive team meetings, including agenda creation and note-taking.
  • Provide additional executive support, as needed.

Operations and Finance:

  • Process all contracts and invoices; assist staff in this process and answer their questions.
  • Manage Intranet systems and documents; ensure all documents are up-to-date and accurate.
  • Recruit, vet, and manage UltraViolet's team of contract proofers; process related invoices.
  • Manage all organizational accounts, including subscription payments and expense processing.
  • Assist the DOD with hiring outreach, and onboarding and offboarding processes.
  • Assist the COO and DOD with other operations projects, as needed.

Event Logistics:

  • Manage logistics for UltraViolet board meetings.
  • Manage logistics for UltraViolet staff meetings, including biannual retreats.
  • Assist with other staff trainings and events, as needed.

Administrative and Office Management:

  • Receive and process UltraViolet's mail in D.C.
  • Answer the phone and respond to inquiries.
  • Coordinate ordering and distribution of all physical office supplies and materials.
  • Other administrative and office support duties, as needed.

Qualifications:

  • 5 to 7 years of executive-level administrative experience.
  • Self-directed, motivated, and able to execute quickly—independently or as part of a team—at a consistently high level.
  • Excellent judgment in a fast-moving, complex, political campaigns context.
  • Previous experience with executive scheduling and executive assistance.
  • The ability to manage up and laterally around hard deadlines.
  • Excellent written and oral communication skills, including the ability to draft correspondences and other communications quickly with minimal direction.
  • Demonstrated ability to coordinate and facilitate the completion of large administrative or logistical projects, including meeting strict deadlines and keen attention to detail.
  • Experience prioritizing multiple projects and tasks; ability to proactively problem solve.
  • Commitment to progressive values, specifically women's rights.
