New Blue Interactive (@New_BlueDC) is looking to fill an Administrative Coordinator position in its Washington D.C. office.  New Blue is a powerhouse digital firm with clients that include large national progressive organizations such as House Majority PAC; party committees like the DLCC; Democratic state parties in battleground states like Colorado, Ohio, and Wisconsin, as well as Democratic candidates for U. S. Congress and Senate and key down ballot races.

Administrative Coordinator Job Description:

Performs administrative duties for executive management. Responsibilities may include managing calendars; making travel, meeting and event arrangements; preparing reports and financial data; training new staff; creating spreadsheets and presentations; as well as customer relations and screening calls. Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Sensitivity to confidential matters required.


In addition, may serve as back-up on client work such as loading and sending emails, proofreading and editing copy.


Administrative Coordinator Specific Skills:


Writing Skills, Reporting Skills, Supply Management, Scheduling, Organization, Time Management, Presentation Skills, Equipment Maintenance, Travel Logistics, attention to detail, problem-solving skills; excellent written and verbal communication skills; ability to multi-task and prioritize work.  Microsoft Office 365 and /or Salesforce experience a valuable plus.


Duties:

  • ·         Maintains CEO's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • ·         Maintains customer confidence and protects operations by keeping information confidential.
  • ·         Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • ·         Ensures operation of computers, printers and other office equipment by completing preventive maintenance requirements; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; and evaluating new equipment and techniques.
  • ·         Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • ·         Assist with Human Resources tasks and data management.
  • ·         Assist with bookkeeping and banking.
  • ·         May assist with client invoicing process.

Skills Desired:


  • ·         Complete ease of use with Office products particularly PowerPoint, Excel and SharePoint.
  • ·         Experience with tracking of budgets/spreadsheets.
  • ·         Ability to work in a fast-paced high growth company.
  • ·         Passion for Democratic politics and a desire to change the world.
  • ·         Proficient in the use of an email CRM such as NGP, Blue State, Action Network or Mail Chimp, Constant Contact or Pardot, desired but not required.
  • ·         Familiarity with Salesforce and/or QuickBooks is a plus!
  • ·         Excellent attention to detail and strong proofreading skills.

Salary is commensurate with experience.
