MoveOn's massive progressive community has a particularly important role to play in the Trump era. We've already proven that by we can defeat some of the worst aspects of the agenda enacted by Donald Trump and the Republicans who control Congress.


But the fight has just only begun. In the years ahead, we'll work to block Trump and the GOP's agenda in Washington at every turn, defend and support communities on the front lines of attacks, work to preserve our constitutional democracy as key norms and institutions are undermined, and lay the groundwork to retake power in the 2017, 2018, and 2020 elections.


MoveOn is made up of two different entities. MoveOn.org Civic Action, a 501(c)(4) nonprofit organization, focuses on education and advocacy, providing civic engagement tools to the public and building the progressive movement by encouraging and supporting the development of more grassroots leaders. MoveOn.org Political Action, a federal PAC, is focused on demonstrating MoveOn members' power at the ballot box and electing candidates who reflect MoveOn members' values.


Director of Finance and Operations

MoveOn is seeking a dynamic and talented Director of Finance and Operations to help lead the organization as it continues to grow. This is a senior-level strategic role overseeing and optimizing day-to-day operations throughout the organization, including finance, budgeting, FEC reporting, governance and legal. The position also plays an important role in supporting the operational needs of MoveOn's campaign activities. The position oversees the work of key outside contractors including a full-service finance and accounting vendor; an FEC reporting vendor; a PEO service contractor for HR administration; and outside attorneys.


The Director of Finance and Operations reports to the COO, and works closely with the Executive Directors to identify opportunities, challenges and solutions across departments. The right person for this role will be a creative leader and management professional with an entrepreneurial streak and a commitment to progressive values. We seek candidates who have deep experience working with diverse constituencies, and a commitment to expanding the diversity of MoveOn's staff, membership and supporters.


Responsibilities:


Finance

  • Lead annual strategic planning and budget development process, working closely with the COO, Executive Directors, managers and staff

  • Manage the output of the external finance and accounting firm, which includes the roles of Accountant, Senior Accountant, Controller and Outsourced CFO

  • Lead monthly budget meetings; routinely review and analyze the general ledger and budget vs actuals; and provide budgetary support for budget managers, the COO, and Executive Directors

  • Manage organizational cash flow and forecasting

  • Maintain compliance with accounting policies and procedures manual; monitor financial risks; and ensure best practices around financial controls

  • Manage accounts payable and staff expenses using online systems

  • Manage donor refunds, cancellations and chargebacks

  • Process payroll, working with the PEO administrator and the finance and accounting vendor


Reporting

  • Responsible for producing monthly soft and hard close financial reporting, working closely with external finance and accounting firm

  • Manage annual audit process for two organizations

  • Manage the annual filing of the IRS Form 990, RRF-1, CA 199, Form 5500 and state charitable registrations

  • Manage grassroots lobbying reports and lobbyist registrations

  • Manage Federal Election Commission (FEC) and independent expenditure reporting process

  • Grants management and budgeting


Governance and Legal

  • Ensure all organizational activities comply with requirements for quality management, legal stipulations, and general duty of care

  • Manage board documents and approval process, working with outside legal counsel

  • Schedule and manage the annual board retreat

  • Work with legal counsel to prepare and review contracts, grant agreements, and policies

  • Trademark renewals


Administration

  • Organizational insurance renewals (GL, E&O, umbrella, D&O, EPL, fiduciary)

  • Work closely with the COO and Executive Directors to assess risk management and recommend risk mitigation strategies

  • Operations support for MoveOn campaign activities


Management

Supervise two operations team staff: the Administrative Director, responsible for payroll, human resources administration, expense/credit card management, and other operations duties; and the part-time Administrative Associate, responsible for donation management, chargebacks, data support and member engagement.


Required Experience:

  • 5+ years of progressively responsible finance and operations experience or equivalent preferred, ideally in a 501c4/PAC affiliated organizational model or other complex operating environment

  • Proven track record in strategic financial management, budgeting, controls supervision, and human resources administration

  • Demonstrated experience with risk management, administrative supervision and strategic decision making in a complex organizational environment

  • Experience managing cross-functional teams to develop and implement systems and processes

  • Helpful but not required: experience with FEC reporting; experience with Intacct accounting software; ability to code in SQL

  • A passion for the work of MoveOn, and a desire to continually broaden and deepen the organization's impact

  • Deep experience working with diverse constituencies, and a commitment to expanding the diversity of MoveOn's staff, membership and supporters

  • Thrives in an organization whose staff work remotely, and communicates well on video conference calls, Slack, and email

Location: Position can be based anywhere in the US. May require occasional travel.

 

Salary and benefits: Competitive salary including benefits such as 100% employer-paid health and dental insurance for all staff and their children; 4 weeks of vacation time accrued per year; subsidy for personal office space; 12 weeks paid parental leave; paid sick time; 401(k) with employer contribution. $50 per month wellness benefit and $1,000 annual professional development budget.
