The Role:


Brass Tactics is seeking a detail-oriented, creative problem solver to serve as its next Operations Director. This position will be responsible for day-to-day operations of the firm, and serve as the logistics lead for all firm projects and the human resources manager for all firm employees. The Operations Director plays a key role in establishing office culture, providing integral support to our organizing efforts for our clients and maintaining a strong firm-wide infrastructure that sets all Brass Tactics employees up for success.


A successful candidate for the Operations Director position will have a strong attention to detail and ability to multi task; they'll be able to implement and adhere to department structures and procedure, but also maintain a level of flexibility to get the job done. The ideal applicant is someone with experience and appreciation for organizing, who derives energy by helping successful campaigns run well. The candidate will be skilled at working at the intersection of several different workflows and with numerous different project related staff. Much of this occurs at a fast pace and with evolving dynamics.


This position is based in Washington, DC, and starts in late April. Salary is commensurate with experience and health benefits are available.


Responsibilities:

·        

      Finance and Budgeting:

o   Oversee firm-wide and project specific budgeting and spending;

o   Accounts Receivable: working with managing director and third party accounting firm to invoice clients, serving as the point-of-contact for clients for invoicing;

o   Accounts Payable: working with third party accounting firm to pay-out all vendors, sub-contractors, and grantees;

o   Liaise with and serve as point-of-contact for third party business licensing firm, initiating state business registrations and keeping up with current business registrations;

o   Liaise with third party tax preparer and work with managing director to pay out yearly taxes;

o   Produce one-off reports in Quickbooks for managing director;

o   Assist as-needed in creating budgets for project proposals; and

o   Oversee project tracking budgets to ensure projects are on budget and ensure end of project reconciliation is accurate.

·         HR Management, Payroll, and Benefits:

o   Serve as the HR manager for the firm, taking a lead role in resolving all personnel issues;

o   Liaise with third party accounting firm to process bi-weekly payroll;

o   Process all onboarding and offboarding of employees through Quickbase;

o   Liaise with third party health insurance broker and 401(k) administrator to enroll all eligible employees;

o   Manage DC Health Link for employees enrolled in the firms health plan; and,

o   Answer staff questions and administer all benefits as needed.

·         Operations and Logistics

o   Booking travel for program leadership and staff;

o   Serve as the operations point of contact for shared work space;

o   Manage all office supplies, equipment, and technology for HQ and field employees;

o   Lead for conference room reservations, meals, and accommodations for all Washington DC staff trainings;

o   Work with project managers/project staff for all operations and logistical needs for field events including long term planned events and short term rapid response events;

o   Help plan firm related events and activities; and

o   Serve as operations point-of-contact for all property management for field offices.


Reporting:

The Operations Director will report to the Managing Director and work with various Project Managers.


Qualifications:

  • ·         Excellent organizational ability and ability to multi-task;
  • ·         Strong written and verbal communications skills;
  • ·         Must be energetic, creative, motivated, a self-starter, and able to function productively and effectively with autonomy;
  • ·         Ability to manage time effectively and meet project deadlines;
  • ·         Must approach every aspect of their work with honesty and integrity;
  • ·         Solutions-oriented problem solving skills and ability to adapt to changing environments and situations;
  • ·         Ability to maintain confidentiality and discretion in operating as the HR manager of the firm;
  • ·         Ability to work in and adapt to a fast-moving, team-oriented environment;
  • ·         Willingness and availability to work long or irregular hours on weekdays and weekends when necessary;
  • ·         Commitment to progressive issues and causes strongly preferred;
  • ·         Experience with Excel and Google Suite is required, experience with Quickbase and Quickbooks a significant plus
  • ·         At least 1 year or 1 cycle of experience on a political or issue-based campaign strongly preferred;
  • ·         At least 1 year or 1 cycle of experience in operations-like role strongly preferred;
  • ·         Good sense of hummer is very helpful and;
  • ·         Experience managing staff strongly preferred.
