Job Description – Operations Associate
Summary
The Alliance for Safety and Justice (ASJ), a project of the Tides Center, aims to replace prison waste with new safety priorities rooted in prevention and community health. To accomplish these goals, ASJ partners with state-based advocates to advance policy reforms that will significantly reduce incarceration rates and racial disparities in the criminal justice system, and engages in strategic communications at both the state and national level.
In partner states, ASJ will provide support and technical assistance to organizations advancing justice reform through alliance building, issue education, and policy advocacy. ASJ is committed to both reforming state justice systems and empowering the communities most harmed by concentrated crime and over-incarceration. ASJ is the sister organization of Californians for Safety and Justice, a project of the Tides Center (www.safeandjust.org) and Alliance for Safety and Justice Action Fund, a 501(c)4 project of The Advocacy Fund.
The Alliance for Safety and Justice is looking for an administrative professional dedicated to ensuring the efficient, timely and reliable completion of the organization's day-to-day administrative tasks. The Operations Associate will juggle multiple job responsibilities on a daily basis, from entering and reviewing data into excel and other online databases, maintaining administrative systems, and assisting staff with scheduling, travel, and other logistical support for events. This requires someone comfortable communicating with all levels of staff, vendors and consultants to ensure tasks get completed on time. This position is for someone who thrives in a fast-paced environment and enjoys taking care of things the right way the first time; a person who figures out how to get most tasks done, but asks smart questions when they do need guidance.
Essential Duties and Responsibilities
- Reconcile and process employee and non-employee credit card expenses and reimbursements, including working with staff to ensure all necessary information and receipts are submitted in a timely fashion
- Review and process vendor invoices and ensure complete information has been provided
- Manage follow-up related to reimbursements and invoices, including ensuring payment, and answering questions from staff, vendors and our fiscal sponsor
- Provide logistical support to staff related to events or meetings, as needed
- Provide administrative support to staff, partners and grantees for travel arrangements, scheduling and materials, as needed
- Maintain up-to-date database of vendors, consultants and grantees
- Support the Operations team in administrative duties related to office logistics, hiring and other operations functions as needed
- Maintain ASJ contact list and perform data entry
- Develop templates for ASJ documents
Other Duties and Responsibilities
- Order supplies
- Proofread/copyedit documents
- Managing printing orders and delivery of various materials
- Other clerical, technical & office support duties as assigned
Education and/or Experience
- Prefer someone with 1-2 years of administrative support experience and with at least one year of finance support or data entry experience
- Experience working in nonprofit and/or campaign setting
Knowledge, Skills and Abilities
- Proficiency in Excel and ability to perform basic mathematical functions
- Exceptional problem solving skills and outstanding attention to detail
- Well organized and highly motivated, able to juggle multiple priorities efficiently in a fast-paced environment
- Flexible and able to work cooperatively under pressure
- Ability to communicate effectively with vendors, consultants, and staff and ensure deadlines are met
- Ability to conduct research and synthesize information
- Strong interpersonal skills and ability to work with remote staff
- Able to self direct day-to-day activities
- Strong commitment to social justice and familiarity with criminal justice issues
- Ability to troubleshoot and maintain basic office equipment
Organizational Relationships
Reports to the Operations Manager.
Qualifications
- Comfortable with Mac laptops generally and Microsoft Word, PowerPoint and Excel in particular, Google Drive experience a plus
Physical Demands
Must be able to sit at a computer for extended periods of time. Some travel required, up to monthly.
Work Environment
Office environment with open seating areas and individual offices. Standard work desks and furniture, fluorescent lighting. There is an elevator in the building. Washington, DC area preferred. This is a full-time position.
