Project Title: Direct Mail Coordinator/Phone Script Coordinator


Role Description

Move on is seeking a part-time contract position on our fundraising team. The Direct Mail and Phone Script Coordinator will focus closely on developing our small-donor offline fundraising channels. The coordinator's role will be heavily focused on project management, working with our phone and mail vendors and our internal systems to deliver work on time. In addition, the Coordinator will be collaborating with program staff to ensure our fundraising messaging stays true to our fundraising principles and our members. The work will vary between five and twenty hours a week. As the project manager, the Coordinator will have some ability to plan the workload in advance.


We are looking for someone who is proactive, detail oriented, able to collaborate effectively in a remote environment, and passionate about fundraising. They should have a strong interest in progressive policy (economic and racial justice, defending democracy, helping progressive candidates get elected, etc.).


Contract Length: Six months, with possibility to renew. Candidate or firm would have at least 10 hours/week availability from contract start date through the end of six months, with a possibility of extension.

Mail coordination

MoveOn's mail program is just starting out, and we are looking for a talented project manager to grow our program to its full potential. This program will primarily focus on small to mid-level donors, with some potential support work needed for our major and planned-giving programs.

  • Work with our staff and direct mail vendor to determine content and audience targeting of each mail piece. Keep multifaceted project running on time and budget. We are expecting to do one to two mail pieces every one to two months.

    • Find and identify evergreen campaign content that speaks to MoveOn's core campaign work for the mail stream.

    • Provide copywriters with background materials needed to produce a complete story for a mailpiece.

    • Collaborate with staff on draft materials, collecting feedback that may contain differing points of view, into one cohesive document.

    • Help choose suitable imagery for mail packages.

    • Shepherd mail pieces through the data targeting, proofing, legal, and signoff processes while keeping to timeline and budget.

  • Ensure other parts of the mail pieces are in order: landing pages created, sources created, caging house has updated instructions, Support Corps is notified, bills and postage are submitted on time.

    • Execute thank-you mailings.

    • Attend weekly meetings with the mail vendor.

    • Report out on the project as needed.

Phone Fundraising Coordination

Our small and mighty phone fundraising program has been running for a few years and primarily focused on monthly donors. The coordinator's role would be to infuse some creative energy into this program by finding fundraising opportunities that translate well to this medium, as well as testing out new audience segments.


  • Look for scripting opportunities in rapid-response moments, as well as more evergreen scripts that are reflective of MoveOn's core mission.

  • Continue monthly phone programs, as well as identifying and testing new member segments and telemarketing campaigns.

  • Write compelling fundraising scripts, primarily focused on monthly giving, based on our most recent work.

  • Move new scripts through internal signoff process, incorporating multiple pieces of feedback.

  • Hold regular check-ins (bi-weekly or monthly) with phone vendor. Give feedback to vendor on progress and share internally so we can better understand what our members are saying.


Proposal Process & Timeline

We will accept proposals until 5 p.m. ET Monday, April 15.

We plan to follow up to schedule conversations with a portion of the consultants/firms submitting proposals over the following few weeks.

What the Proposal Should Include

  • The firm or consultant's background.

  • Bios of the team/person and explanation of the role each person would play (if applicable).

  • An outline of a high-level timeline for your availability, broken down into hours/week through the end of 2019.

  • Explanation of why you are well suited to take on this project.

  • Your proposed hourly rate.

  • Sample of your fundraising-related writing, such as fundraising script, fundraising email,  or donor thank-you note or newsletter.

  • Explanation of whether and how you and/or your firm have advanced the values of equity, diversity, and inclusion.

  • Explanation about your views on inclusive language and a diverse donor base.

  • Proposed workflows, project structure, and proposed fees and treatment of expenses.

  • Past clients that MoveOn may reach out to as references, with contact info.

 

Most-Favorable Terms

● MoveOn reserves the right to make an award without further discussion of the proposal submitted. Therefore, the proposal should be submitted initially on the most favorable terms that the vendor could propose. There will be no best-and-final-offer procedure. MoveOn does reserve the right to contact a vendor for clarification of its proposal.

● The vendor should be prepared to accept this request for proposal for incorporation into a contract resulting from this request for proposal. Contract negotiations may incorporate some of or the vendor's entire proposal. It is understood that the proposal will become a part of the official procurement file on this matter without obligation to MoveOn.

No Obligation to Contract

This request for proposal does not obligate MoveOn to contract for services specified herein.

Rejection of Proposals

MoveOn reserves the right, at its sole discretion, to reject any and all proposals received without penalty and not to issue a contract as a result of this request for proposal.
