Western Resource Advocates (WRA) seeks an enthusiastic and organized problem solver to join our growing team as an Executive Assistant. The Executive Assistant is instrumental in ensuring the smooth functioning of WRA's President and Vice President of Programs and Strategy, supporting both in multiple capacities. Responsibilities include scheduling, day-to-day administrative tasks, travel and events planning, drafting communication materials, and a variety of other interdisciplinary and special projects to advance our mission. The ideal candidate is able to juggle competing priorities, act quickly on immediate requests, manage ever-changing calendars, and both foresee and resolve issues proactively, all while keeping a level head. Reporting to the President, the Executive Assistant will coordinate across our development, administration, communications, and program teams – an exciting opportunity to learn about all aspects of non-profit work.

Location

The position is primarily based in WRA's Boulder office, but 1-2 days per week may be based in WRA's satellite office in Denver depending on the President's schedule.

 

Job Responsibilities

  • Manage all aspects of the President's calendar and schedule, ensure key meetings are in line with organizational strategic priorities
  • Arrange travel for both the President and the Vice President of Programs and Strategy
  • Assemble materials and other preparation as needed for meetings, presentations, and events
  • Prepare expense reports on behalf of the President and Vice President of Programs and Strategy
  • Assist the President in regular management tasks of the organization, working to ensure that tasks and assigned duties are followed through on in a timely manner
  • Attend meetings as directed by the President; take notes and conduct any follow-up as directed
  • Coordinate with the President, the Office Administrator, and other members of senior management to prepare meeting materials and logistics for Board of Directors meetings
  • Staff committees of the Board as directed, including scheduling meetings, preparing meeting materials, taking notes and conducting any follow-up
  • Coordinate with the VP of Development regarding development and fundraising priorities for President's calendar
  • Coordinate with development team to schedule meetings/calls for the President with donors, to ensure the President is prepared for the meetings, and to conduct any follow-up
  • Coordinate with the communications and program teams to ensure that the President is prepared for media events and opportunities
  • Work with the communications team to ensure that the President's social media communications complement and support the communications team's efforts and organizational priorities
  • Coordinate with the organization's senior leaders to ensure the President is prepared for fundraising and partnership opportunities, and for communications and meetings with elected leaders and decision-makers
  • Staff the organization's Senior Leadership Team meetings, developing agendas, keeping track of agenda items, managing the schedule and keeping accurate records of organizational decisions
  • Other tasks and special projects as assigned

 

Qualifications

  • Excellent calendar management skills and an ability to manage and prioritize a wide variety of tasks
  • Proven administrative experience
  • Attention to detail
  • Impeccable written and oral communications skills
  • Comfort and skill in communicating with a variety of sophisticated constituencies and audiences including staff, donors, foundation program officers and executives, conservation partners, elected officials, decision makers, and business executives
  • Integrity and ability to uphold a strict level of confidentiality
  • Collaborative instincts and a sense of humor
  • Ease with working in a fast-paced and dynamic environment
  • Intrinsically motivated individual with a desire to learn about conservation issues and topics in nonprofit management, fundraising and leadership

 

Salary and Benefits

Salary range for this position is $39,000-$50,000; salary depends on relevant experience and new staff rarely start at the top of the range – most start close to the midpoint of the range.  WRA's excellent benefits package includes health, dental, and vision coverage, a 401(k) retirement plan, life & disability insurance, 3 weeks paid vacation leave, sick leave, parental leave, sabbatical leave after five years; and an RTD EcoPass for staff in the Denver/Boulder metro area. Position is full-time exempt.
