Position Description

We are seeking a highly organized, dependable and proactive individual to join our growing organization to serve as an Administrative & Party Business Coordinator at the New York Working Families Party. This person will support the day-to-day administrative operations of the NYWFP, oversee logistics for our governance membership meetings, and provide data entry support for our membership engagement program.

Location

This job will be based in NYWFP office in New York City and will require some modest travel throughout New York State. 

Responsibilities

Meetings, Events and Special Projects

  • Serve as the innovation driver for New York Working Families Party's governance and membership meetings and special events logistics – specifically identifying ways NYWFP can live into our values in all aspects of our operations. 

  • Coordinate with the NYWFP team to ensure that logistics for all meetings and events are finalized and run smoothly.

  • Provide logistic support for internal and external meetings and special events by securing locations, ordering food, preparing materials, arranging travel, identifying and securing translation and childcare, sending invitations and confirming attendance, and attending key meetings to provide on-site logistics support.

  • With support from the Deputy Director, develop and implement meeting and event planning logistics systems for recurring meetings and events.

Membership Experience: Data Entry and Tracking

  • With support from the Deputy Director, regularly enter membership activity into the CRM database and provide membership reports to the NYWFP Team.

General Administrative Support

  • Manage the calendar and support with scheduling for the State Director and Deputy Director. 

  • Provide administrative support for endorsement, petitioning and campaign activities, as needed.

  • Complete finance-related administrative tasks, including compiling monthly reimbursement requests for NYWFP leadership.

  • Provide general administrative support, which includes but is not limited to creating, maintaining, and editing contact spreadsheets, files, and presentations in Google Drive.

  • Take notes and prepare meeting summaries for NYWFP meetings as assigned.

  • Highly organized: You can keep a clear head and stay on top of your responsibilities, while managing multiple tasks and moving parts. You know how to prioritize and you're skilled at creating and using systems that help you and others keep track of deadlines and manage time efficiently.

  • Proactive problem-solver: You feel a sense of ownership and responsibility for the success of the project. You don't wait for someone to give you direction. You keep your eyes out for important gaps and areas of need and proactively seek solutions.

  • Trustworthy and dependable: Once you commit to a task and a deadline, you follow through. If you need assistance to complete a task or if something comes up that might cause you to miss a deadline, you communicate the situation and what you need swiftly and clearly.

  • Adaptable and quick-thinking: You can stretch, grow, and course-correct as needed. You manage unexpected tasks and challenges well and you thrive in dynamic, fast-paced environments.

  • Ability to communicate clearly and persuasively, in writing and orally.

  • Demonstrated ability to work and thrive in collaborative environments

  • Demonstrated ability to establish and maintain close, collegial and effective working relationships with a variety of partners of diverse backgrounds and perspectives

  • Diligent work ethic and personal drive while working independently

  • High comfort and strong understanding of administrative technology tools and communication platforms, including Google Suite, Concur, Zoom, Excel.

  • Electoral campaign experience, preferred. 

  • Bilingual Spanish speaker, preferred.
