The Major Gifts Data Assistant works under the supervision of the Operations Program Manager, Major Gifts. This position assists the Major Gifts team with data entry needs for the frontline fundraisers for their activities with organization's largest donors. This position will work in an administrative capacity to ensure timely, accurate, and consistent data entry for donor related responsibilities. This will include, but is not limited to assisting in entering donor correspondence and meeting notes, updating donor records, entering information on donor plans, and participating on various data hygiene projects. Another key responsibility will be assisting in the execution of smaller donor gatherings, including tracking attendance, drafting invitation language; prepping staff and gathering debrief notes and follow-up actions.
The candidate should have demonstrated ability in using databases or a strong desire to learn.
This position is based in our headquarters located in San Francisco, CA.
Responsibilities
Data Entry and Integrity and Database Administration for Major Gifts Team (50%)
- Monitor the data entry inbox and ensure all donor email exchanges are accurately entered for frontline fundraisers across the country.
- Ensure donor engagement information is captured in the database in an accurate and timely fashion.
- In conjunction with the Operations Program Manager, assist in the annual Board of Trustee and Council work plans process and data tracking.
- Participate in the execution of Major Gifts data hygiene projects to ensure accurate donor information is reflected in donor database.
- Assist the team in the updating, maintenance, and reminders for donor activities in the database.
Small Event Coordination (40%)
- Work with supervisor to prioritize 10-15 small donor gatherings each year, schedule scoping conversations, briefings, and assist gift officers with planning efforts.
- Monitor events and RSVP inbox and assist in the tracking of and data hygiene for Major Gifts events and board and council meetings.
- Draft communications and materials for events, including program briefing, invitation copy, reminders, and follow-up notes.
- Send event collateral and nametags to gift officers or hosts in advance of event.
- Work to streamline event planning process and align with events team.
- Partner with events team to support list review process for larger events and trips.
Other Tasks (10%)
- Schedule and coordinate team's strategy meetings across department and with leadership.
- Monitor team's administrative inbox and respond to requests from fundraisers.
- Update relevant operational documentation on team's intranet site (Atlas), as needed.
- Serve as backup to other members of the Major Gifts Systems team, as needed.
- Participate in organization's Diversity, Equity, and Inclusion work.
- Other duties as assigned.
Qualifications
- Bachelor's degree plus a minimum of two years of relevant experience, or Associate's degree plus a minimum of four years of relevant experience required.
- A minimum of two years' experience in Development preferred.
- Event planning experience required.
- Exemplary organizational skills, including ability to handle multiple tasks, meet deadlines, and prioritize assignments.
- Meticulous attention to detail, including ability to work comfortably with data sets and numbers.
- Excellent analytical skills, ability to adapt, cooperate effectively, and creatively problem solve.
- A self‐starter who is able to work both collaboratively and independently, and possesses strong interpersonal skills.
- Solid knowledge of MS Word and Outlook, as well as advanced Excel skills preferred.
- CRM database management skills required with ability to produce reports and to use advanced functions, including sophisticated knowledge of the Internet.
- Professional, positive, and approachable attitude. Sense of humor desired.
- Ability to use discretion and diplomacy in dealing with donors, Board members, and colleagues and in handling confidential information.
Salary is based on experience and location.
Salary range in San Francisco, CA: $52,900-$58,800
