POSITION: Scheduler & Office Coordinator

LOCATION: Remote/Washington, DC

 

American Bridge 21st Century, a progressive research and communications organization dedicated to holding Republicans accountable for their words and actions, is hiring a Scheduler & Office Coordinator to oversee the schedules of our Management Team and support the daily operations of our office. This position requires a keen attention to detail, confidentiality, high-protocol professionalism, and strong organization skills and comprehension; persons with former Capitol Hill scheduling experience are encouraged to apply.

 

This position will be a member of the organization's Operations Department and reports to the Operations Director. The Scheduler & Office Coordinator will be responsible for managing the daily and long-term executive schedules of the President and Senior Advisor as well as lend support to the daily operations of the office. Additional responsibilities include: staffing the reception area answering phones (once we return to the physical office space), managing the operations email account, and monitoring and stocking office supplies (when relevant). The position is currently remote but will ultimately be based in Washington, D.C.

Primary Responsibilities Include:

  • Organize, vet, and respond to all incoming executive meeting requests and invitations with an ability to adjust and prioritize meetings in real time;
  • Coordinate conference calls and Zoom meetings with consulting teams and manage internal, cross-departmental scheduling;
  • Draft preparatory materials for President, Vice Presidents, Board Members, etc. as needed;
  • Once staff return to a physical office space: Staff the reception area, answer phones, and greet visitors upon arrival;
  • Provide key administrative and organizational support to the Executive, Management, and Operations teams;
  • Responsible for maintaining weekly time sheets for principals;
  • Monitor the Operations email and voicemail accounts

 Additional Responsibilities May Include:

  • Staffing senior leadership and board members for events and meetings 
  • Assisting operations with catering and all-staff meeting preparations and note-taking
  • Maintaining current digital subscriptions to various local and national news outlets
  • Collect and disseminate incoming mail and phone messages, responsible for outgoing mail and packages
  • Ordering office supplies and various other administrative duties, as assigned 

The Ideal Candidate Will Have:

  • 2 - 3 years of scheduling and office management experience; Capitol Hill or campaign experience is a plus
  • Excellent communicator with a strong eye for detail
  • Ability to confidently, efficiently, and rapidly respond to a fast-paced work environment with frequent changes and remain organized
  • Self-motivation, professionalism, assertiveness, positive demeanor, and a willingness and ability to learn and work in a highly collaborative, high-protocol, deadline-oriented, team environment
