The Administrative and Accounting Specialist is responsible for assisting management in the operations and accounting functions of the organization. This position is responsible for assisting both the Controller and Accounting Manager and the Director of Finance and Administration with the day to day operations and accounting functions of the office. In addition, the position serves as a liaison to all field office personnel and operations of field offices for accounting management. This position is in the bargaining unit. 

Reports to: Controller and Accounting Manager 

Duties:  

1. Administration

  • Assists in the opening and closing of field offices, including processing and maintaining office and housing leases, setting up telephones, internet, and office equipment;
  • Assists in making travel arrangements for staff for field and national staff;
  • Maintains, tracks and manages reconciliations of all credit card transactions, requests for additional credit cards and all related credit card transaction matters;
  • Monitors and administers the organization's insurance policies, including processing vehicle claim reports and all worker's compensation claims;
  • Prepares report regarding thank you letters to high level donors that are received in field offices and sends letter for mailing directly to donors.

2. Accounting

  • Reconciles and prepares journal entries for prepaid offices lease account and prepaid insurance account to maintain general ledger accuracy; 
  • Prepares bank statements from field offices and reviews deposits.

3. Project support

  • Support project management including preparation of documents and follow-up on timeliness and deliverables;
  • Attend accounting department meetings;
  • Participate on cross-functional teams.

4. Other Duties

  • Special duties and projects assigned by Controller and Accounting Manager.

Qualifications:

  • A bachelor degree with emphasis in accounting desirable or equivalent experience required;
  • Five years' experience working in an administrative and or accounting capacity;
  • Non-profit experience desirable.
