Title: Events & Communications Coordinator
Reports To: Director of Development
Status: Full-time-Exempt
Salary: $32,000 - $36,000 annually
The mission of Boulder County AIDS Project is to provide support, advocacy, and education to those in our community who are infected or affected by HIV and AIDS, and to serve as an outreach and information center to prevent the further transmission of HIV. It is the responsibility of all BCAP employees to support BCAP's mission and goals, to respect the confidentiality of all who come to us for information or assistance, and to personally maintain the dignity and integrity of one who is placed in a position of public trust. Position Summary The Events & Communications Coordinator is a member of the Development Team and is the primary organizational contact regarding marketing, public relations, communications, and special events. The primary focus of the position is to ensure that the agency communicates the story of BCAP's services and successes to the community at large. The secondary focus is to produce special events that capture the spirit of BCAP, provide meaningful guest experiences and generate significant revenue for the agency. The position requires experience in marketing and public relations and facility in web, event planning, social networking, and print media. The Events & Communications Coordinator reports directly to the Director of Development and is required to attend and fully participate in Development Team, Development Committee, and All Staff meetings. The Events & Communications Coordinator is the leader of the volunteer Special Events Teams. This position is full-time (40 hours per week) and is located in the Boulder office.

Duties and Responsibilities
The Events & Communications Coordinator serves as the agency's primary support for internal and external agency communications, including the marketing and outreach of this agency to the greater community. In addition, this manager plans and produces fund raising events for BCAP and provides staff support benefits, if needed, that support donor creation, retention and meet budgeted expectations.
Communications
Specific responsibilities include:
- Responsible for producing agency messages to the whole community
- Implement and maintain agency branding style guide and ensure all messaging from agency follows consistent style guide
- Develop marketing and public relations tools for the entire agency, including printed materials and press releases
- Ensure all messaging is presented in an inclusive and respectful manner
- Keep website content current and utilize social media tools to increase traffic including the monitoring of analytics to improve agency outreach
- Manage and produce bi-annual newsletter and monthly e-newsletter for current and prospective donors, funders and collaborators
- Manage relationships with local media and encourage their involvement in agency activities
- Tracks and maintains media library of all press results
- Serve as a steward to the Boulder community in a welcoming collaborative manner consistent with agency inclusiveness goals and values
Special Events
Specific responsibilities include:
- Co-create annual events plan with Development Committee
- Manage logistics for fund raising events including preparation of event budget, securing venue, marketing, collection of event RSVPs, organizing and managing event check-in, registration, and check-out
- Secure event sponsors, assembles sponsor packets, manage relationships with sponsors
- Create and maintain vendor relations; oversee the procurement of auction items
- Create/maintain event database; utilize database to analyze fund raising performance
- Lead volunteer special events team in event planning and production activities
- Work with volunteers to produce design elements for events

Qualifications
The requirements included here represent the knowledge, skill and abilities necessary to perform this job successfully.
- Two years minimum experience in marketing, sales, advertising, hotel catering sales or for profit or nonprofit event management
- Successful experience creating and executing marketing/advertising plan
- Successful history securing sponsorships
- Success in producing nonprofit galas/dinners for 250+ guests
- Familiarity with Microsoft Word, Excel, Microsoft Office Creative Suite, Donor Perfect, WordPress, Vertical Response, Facebook, Twitter and LinkedIn
- Able to work with frequent interruptions during the day
- Able to sit or stand for extended periods of time
- Able to lift 50 pounds
