Executive Assistant to the Managing Director

 

As the Executive Assistant, you will play a central role in ensuring Corporate Accountability International is a high-impact force for social change. Working closely with the Managing Director, you will ensure the organization's systems and internal communications are top-notch, effective, and efficient. Using sound judgment, taking initiative, and ensuring confidentiality, you will take a lead role in coordinating the Managing Director's scheduling and logistical needs, supporting internal communications and coordination, and assisting in organizational fundraising, recruitment, and planning. You will directly support and report to the Managing Director and also be responsible for representing the Managing Director both within and outside of the organization. This is a position for an accomplished organizer who is committed to social justice as well as to developing and implementing management and administrative systems needed to run an effective social-change organization. The ideal candidate will enjoy and contribute to a creative and enthusiastic office atmosphere.

 

Major Responsibilities:

Schedule management and preparation: Manage the Managing Director's scheduling and calendar. Provide oversight of the preparation of all materials for the Managing Director's schedule including travel, fundraising, presentations, and correspondence.

 

Executive programs support: Organize special projects with and for the Managing Director. Provide administrative support for organizational management. Provide strategic input to the Managing Director when appropriate on organizational priorities to aid in decision-making, problem-solving, and meeting preparation.

 

Internal communication and coordination: Facilitate internal communications across the organization. Schedule and prepare materials and agendas for the organization's staff meetings, department head meetings, and campaign meetings, including taking and distributing notes and ensuring next steps are communicated and implemented.

 

External communications: Serve as a liaison and representative to key allies and philanthropic partners, as well as other constituencies as needed.

 

Organization-wide coordination and activities: Provide critical support to the organization's campaigns, communications, and development programs. Participate in organization-wide fundraising, recruitment, and campaign activities. Organize office-wide events and celebrations.

 

Minimum Qualifications

  • Demonstrated commitment to progressive social change.
  • Two years minimum organizing, administrative, or fundraising experience in a social change organization.
  • Efficient and persistent, with experience managing and juggling diverse tasks and projects in a fast-paced work environment with minimal supervision.
  • Exceptional verbal and written communication skills.
  • Ability to be flexible and take an optimistic attitude to new challenges, a good sense of humor, and can-do approach.
  • Proactive, creative, and tenacious problem-solver with experience in organizing others to accomplish projects.
  • Highly organized, with excellent attention to detail, and conscientious in adhering to deadlines and deliverables.

Grant Writer and Administrator

 

As the Grant Writer and Administrator, you will join a committed team and play a key role in building Corporate Accountability International's capacity to wage and win its lifesaving campaigns. You will work closely with the Director of Foundation Relations and other senior staff to drive the organization's foundations program: writing and editing foundation materials, overseeing administrative responsibilities, and coordinating research on foundation prospects. By increasing the organization's grant income through new and renewed foundation support, you will be critical to increasing our positive impact in the world and protecting people's health, the environment, human rights, and our democracy from corporate abuse.

 

Major responsibilities:

Writing and editing: Draft, edit, and research foundation communications, including letters of interest, proposals, and reports, producing high-quality, compelling materials and ensuring consistency with the organization's messaging and style. Coordinate the review and approval of foundation communications by senior staff.

 

Administrative support: Maintain and update a foundations calendar to ensure seamless project management of grant materials, coordinating closely with staff to ensure all deadlines are met. Keep a tracking system up to date with all communications. Maintain comprehensive, accurate, and up-to-date files, records, and systems on all foundation communications. Schedule and prepare materials for meetings and manage follow-up, including support and facilitation of team check-ins.

 

Foundations research: Coordinate and conduct foundation research and development of foundation profiles.

 

Foundations reporting and updates: Analyze and synthesize media, campaign, and organizational developments for program officers.

 

Provide staff support: Play an active role in the interdepartment foundations team, providing the support required to meet deadlines, jumping in on rapid-response opportunities, and providing additional materials as needed.

 

Participate in organization-wide activities: Enthusiastically participate in planning, fundraising, recruitment, and campaign activities.

 

Minimum qualifications:

  • Demonstrated commitment to social justice and progressive social change.
  • At least three years of writing experience in a nonprofit setting, including a proven track record in foundations writing.
  • A portfolio demonstrating the ability to write quickly, concisely, and in a manner compelling to foundations.
  • Enthusiasm for the organization's mission and campaigns, as well as a passion for building the organization.
  • Ability to juggle multiple tasks and consistently meet deadlines.
  • Highly organized, with strong attention to detail.
  • Strong communicator, with excellent written and verbal skills.
  • Grassroots organizing and/or grassroots fundraising experience a plus.

     Computer skills: proficiency with Excel, Microsoft Office a must; fluency with Adobe Creative Suite (InDesign, Illustrator, Photoshop) a plus.

Accounting Associate

Corporate Accountability International, a powerhouse in protecting human rights, public health, and the environment from corporate abuse for 38 years, is seeking an Accounting Associate. As the Accounting Associate, you will play an important role in the organization's finance department, helping ensure the development and implementation of key financial functions across the organization, with particular attention to general ledger activities. You will directly support and report to the Finance Director and work with other staff across the organization. The ideal candidate will enjoy and contribute to a creative and enthusiastic office atmosphere.

Major responsibilities

      Ensure the efficient and effective management of the finance department's key areas, such as maintaining the general ledger and accounts payable, processing income, reconciling balance sheet accounts, and following internal controls.

      Financial analysis: Prepare timely and accurate monthly financial statements and provide informative variance analysis. Provide ad hoc financial analysis and financial modeling to support and respond to senior leadership across the organization on timely finance-related projects.

      Drive process improvement initiatives to enhance timeliness and accuracy of plan, forecast, and close financial results.

      Support the annual audit and assist in the month-end and year-end closing processes.

      Manage the organization's attendance tracking process.

      Develop and maintain administrative systems for departmental and common organizational files, systems, and procedures; support overall administrative projects for the organization.

      Manage interns: Recruit, train, and supervise one or more interns to provide support on all aspects of our finance department priorities.

      Active participation in organization-wide planning, fundraising, program, and campaign activities.

 

Minimum qualifications

      Demonstrated commitment to social justice and progressive social change.

      Minimum of two years of direct financial/accounting experience. A bachelor's or advanced degree in a related field a plus.

      Highly effective communication skills and style. Proficiency in Spanish a plus.

      Superb organizational skills and demonstrated ability to juggle several tasks/priorities while setting and meeting deadlines.

      Excellent attention to detail.

      Highly motivated, self-starter, innovative, and solution-oriented.

      Experience with QuickBooks; Excel-savvy.

      A background in data analysis and financial reporting; experience with financial modeling and forecasting a plus.

      Excellent people skills and manner; friendly and warm.

      Professionalism to deal with confidential matters.
