Purpose:

 

This position is responsible for providing confidential administrative support with considerable exercise of independent judgment in support of the executive office or a division/department.

 

 

PRIMARY RESPONSIBILITIES: (Any one position may not include all of the specific duties and responsibilities listed.  Examples provide a general summary of the work required and should not be treated as a total and complete list of expected duties to be performed by employees in the classification.)

 

  • Performs highly confidential work and advanced level administrative and logistical duties for the 2020 team, i.e., prepares correspondence, reports, speeches, invoices, budgets, check requests, and confidential documents; maintains records and filing systems.

 

  • Answers telephones and responds to inquiries and requests relative to the executive office or division/department; maintains officer's or director's calendar and travel schedule.

 

  • Coordinates information flow between the executive office, manager and other departments.

 

  •  Processes confidential information and responds to inquiries.

 

  • Contacts external unions, government agencies and other organizations in support of executive office or division/department activities.

 

  • Manages administrative projects of moderate complexity with minimal supervision; can prioritize work and operate efficiently in a fast-paced environment.
  • Assists with budgetary aspects, including consulting contracts, department purchasing card, and payments to third-party vendors.

 

  • Orders and maintains office and department supplies; plans and coordinates meetings and associated activities.

 

  • Assists with and completes special projects.

 

  • Performs other duties as required to support the office/department and its mission.

 Contacts:

 

Include SEIU headquarters and field officers and staff, affiliate leaders, other unions, private organizations, and federal, state and local government officials and agencies.

 

Direction and Decision Making:

 

This position works under general supervision and reports to an officer or division / department director.

 

Education and Experience:

 

Graduation from high school and at least (5) years of executive administrative support experience or graduation from college with at least (2) two years of administrative work, preferably in a not for profit environment.  All candidates must be able to demonstrate the following knowledge, skills and abilities:

 

  • Knowledge of modern office practices and principles. 

 

  • Ability to effectively manage multiple projects exercising independent judgement.

 

  • Ability to communicate effectively both orally and in writing.

 

  • Ability to organize assignments, meet deadlines and pay attention to detail.

 

  • Ability to handle confidential information, budgets and personnel issues.

 

  • Skill in the use of personal computer and Microsoft Office Suite including Word, Excel, Access and PowerPoint and Google suite including gmail and Google calendar.

 

Physical Requirements:

 

Work is generally performed in an office setting.  Overtime and travel may be required.
