Jobs With Justice is a national network of local coalitions of labor unions, community, faith-based, worker centers, and student organizations. Position overview:
The Executive Coordinator organizes, plans, and carries out the day-to-day work that allows the Executive Director and Executive Department to successfully advance the goals of Jobs With Justice. The Executive Coordinator is accountable to the Executive Director and supervised by the Managing Director.
The Executive Coordinator:
Leads and anticipates preparation and follow through for projects that involve the Executive Director and Executive Department.
Strives to learn, connect and clarify the Executive Director's work, commitments goals and responsibilities, and helps the director prepare and complete work.
Plans and schedules calls, meetings, and convenings that involve the Executive Director or Executive Department.
Executes follow up and preparation for organizational governance, for the Development team, and for the Executive Department.
Detailed areas of work include:
Executive Support:
Manages the Executive Director's email; decides what needs the Executive Director's attention versus what can be responded to independently on her behalf.
Proactively drafts other communication on behalf of the Executive Director, using similar tone, approach, and complex understanding of and sensitivity to the issues.
Coordinates all aspects of the Executive Directors calendar, including the scheduling of meetings and calls.
Organizes all scheduling and travel logistics for the Executive Director, including calendar, transportation, lodging and prep.
Coordinates with Communications and other staff members to prep and execute the Executive Director's media and public speaking engagements.
Assists ED by proposing clear next steps to advance key work and projects, anticipating need to schedule work time, supplementing research and follow up with people internally and externally.
Serves as the primary contact for individuals and organizations seeking information from the Executive Director, prioritizing these requests, and ensuring outgoing communication is timely and accurate.
Screens telephone calls thoroughly and with diplomacy. Provide preliminary information to internal and external callers as appropriate and direct inquiries and requests as needed. Receive and triage incoming written communications to appropriate staff and facilitate response or action to be carried through by Executive Director as needed.
Department Projects:
Organizes logistics for meetings and convenings scheduled by the Executive Department, including coordinating schedules, securing locations, coordinating travel, lodging and meals.
Liaises with other departments to coordinate Executive Department projects.
Administrative support:
Conducts additional administrative support such as record keeping, preparation of receipts and reimbursement requests, filing and data support.
Serves on the administrative team that supports organizational management, and is back up to front office reception.
Qualifications:
Outstanding interpersonal skills, including the ability to work both in groups and individually to meet goals and to develop strong working relationships with internal staff and external constituents.
High degree of motivation and self-discipline with a strong work ethic.
Excellent verbal and written communication skills, including proof reading and editing.
Demonstrates sound judgment and discretion in handling confidential information.
Very detail oriented and accurate in carrying out work.
Able to juggle many responsibilities and shifting priorities.
A good and professional communicator able to manage complex relationships.
A strong problem solver who takes initiative in resolving challenges, asking for help and suggesting ideas for achieving our goals.
Outstanding organizational skills and the ability to succeed with a high volume of work.
Solid computer skills and affinity for using technology to create efficiencies.
Team player who can create strong relationships with co-workers.
Track record of getting things done well and on time.
Salary: Mid to upper 50s
