EAC is seeking a smart, ambitious, and experienced Operations Director to manage the day-to-day and strategic approach to its financial, operational, and HR systems. Reporting to the Executive Director, the Operations Director is responsible for all financial matters and internal operations of the Energy Action Coalition ensuring organizational effectiveness. This person works closely with the Board of Directors and Executive Director to successfully oversee the organization's financial and operational vision and contributes to the development and implementation of organizational strategies, policies, and practices. The Operations Director, in coordination with the ED, works to keep the administrative and programmatic systems running smoothly and efficiently including driving operations procedures in accordance with written policies.

Founded in June 2004 by youth climate leaders, the Energy Action Coalition (EAC) mobilizes the collective power of the millenial generation to stop climate change and create a just, clean energy future and resilient, thriving communities for all. Energy Action Coalition is a coalition of 18 youth-led social and environmental justice organizations building a generation-wide movement to take on the climate crisis and fight for environmental justice. We host the Power Shift summits, the WeArePowerShift.org online community, and support youth leadership on climate and energy. RESPONSIBILITIES
Though this role may evolve over time, at a minimum there are three main areas of responsibility:


Finance and Development:

  • In collaboration with the accounting team, oversee all accounting functions to ensure proper reconciliation and maintenance of accounting systems. This includes preparing regular financial reports and managing the processing of invoices, reimbursements, contract payments, and deposits.
  • Drive annual budgeting and planning processes for the organization's annual budget with the ED including updating and monitoring expenditures.
  • Oversee overall financial management, planning, systems and controls; maintain and ensure compliance with financial policies and procedures standard to non-profit organizations and in compliance with all applicable laws.
  • Support the preparation and submission of grant proposals and reporting in collaboration with the Executive Director and Development Counsel, including proposal narratives, budgets and supporting documents, and grant compliance
  • Manage and upkeep the Donor Management System (DMS) and find ways to improve development tracking.
  • Conduct financial forecasting and manage the budgetary planning system parallel to financial systems to ensure spending in accordance with approved budgets and grant funding guidelines.

Operations:

  • Drive initiatives in the management team and organizationally that contribute to long-term operational excellence.
  • Coordinate the operations of our fast-paced office to ensure all staff members have the space, materials, and information to do their work. This includes a fair amount of problem solving.
  • Manage relationships and contracts with all vendors, including but not limited, accountants, strategic consultants, insurance brokers, and lawyers.
  • Oversee Human Resources systems, policies, and implementation. This includes new hire processes, benefits administration, staff development, and organizational culture.
  • Schedule and manage logistics for internal and external meetings.
  • Solve other issues that may arise, and develop and implement effective solutions.

Organizational Leadership and Coalition Engagement:

  • Contribute to short and long-term organizational planning and strategy as a member of the management team
  • Support committees and working groups as needed
  • In coordination with the Board co-chairs and the ED, manage Board business and meetings.
  • Assist with all organizational meeting planning such as drafting agendas and managing meeting logistics.
  • Communicate with Coalition members regarding meetings and Council business.

Currently, EAC is going through structural changes and is undergoing a transition process over the next year. In addition to the above responsibilities, the Operations Director will spearhead all operational and legal undertaking that this change in structure entails.


QUALIFICATIONS

  • Bachelor's degree required
  • 3-5 years experience in non-profit administration/management
  • Degree in Accounting or Business Administration a plus
  • Strong understanding of nonprofit accounting policies and procedures
  • Budget development and oversight experience
  • Knowledge of tax and other compliance implications of non-profit status
  • Self-starter, highly motivated, resourceful, flexible, organized and strong attention to detail
  • Superb organizational and problem-solving abilities and capacity to manage multiple projects simultaneously
  • Strong communication skills, both verbal and written
  • Excellent interpersonal skills and ability to work within a diverse workplace
  • Excellent computer skills and a proficiency in Microsoft Office Suite
  • Experience as an activist and organizer in the climate movement and/or social justice work is desired but not required
