Job Opening: Director of Operations & Fundraising

 

The NESRI Director of Operations oversees all functions of the: 1) Administration and Finance team, 2) Fundraising team. The Director of Operations is responsible for ensuring that strategy, work plans, policies and practices are set in these three areas. The Director of Operations supervises the Office Manager, Finance Manager, and Fundraising & Communications Associate. The Director of Operations also ensures that the program staff takes up their responsibilities in these areas (such as monitoring budgets for their projects, contributing to fundraising for their projects, etc.). Finally, the Director of Operations is a part of the Organizational Development Team, which includes the Executive Director and all other Directors. The person in this role should be highly organized, detail-oriented, self-motivated, efficient and a quick learner in addition to being an effective communicator. The Director of Operations reports to the Executive Director.

Key Responsibilities:

Administration and Finance

Organizational Development:

  • Supervise the Office Manager
  • Organizational Development Team - work with Executive Director and all other Directors to develop staff meeting and retreat agendas, troubleshoot organization-wide issues that may arise, participate in organizational decision-making, etc., and assist with strategic planning
  • Board of Directors liaison - coordinate and schedule meetings, attend meetings, maintain communication, develop materials, etc.
  • Integrate and align operations and programs
  • Provide advice and support to NESRI partner organizations and coalitions in the areas of fundraising, administration and finance, etc.

 

Human Resources:

  • Supervise the Office Manager, who also manages day to day human resources responsibilities
  • Review insurance plans annually
  • Assist with new staff orientations/onboarding (interns, volunteers and new employees)
  • Maintain and revise policies and procedures for employees (including employee manual) current
  • Draft and circulate job descriptions, manage recruitment processes
  • Performance management

 

Financial Oversight:

  • Supervise the Finance Manager, who manages day to day finances for the organization
  • Monitor organizational and program budgets
  • Oversee and assist with financial reporting
  • Review monthly bank statements and credit card statements
  • Prepare for annual, organization-wide participatory budgeting process
  • Update IRS form 990 on Guidestar, interface with pro bono lawyer on issues as they arise, assist with annual audit
  • Monitor, maintain and revise polices and procedures to comply with tax, labor and non-profit laws in the states where NESRI operates, including:
    • Setting up and maintaining withholding, unemployment and workers' compensation accounts for NESRI remote employees in other states
    • Sharing the above relevant information with the payroll company
    • Charity registration in states, when necessary

 

Fundraising

General:

  • Supervise the Fundraising & Communications Associate
  • Develop, with Executive Director and Fundraising & Communications Associate, fundraising plans and strategies
  • Coordinate Annual Plan production
  • Create and monitor fundraising budget

 

Foundation Grants Management:

  • Work in collaboration with the Fundraising & Communications Associate on the following activities:
    • Coordinate, write and submit letters of inquiry, proposals and reports
    • Maintain a calendar of grant proposals, progress and reports
    • Track funding/provide revenue reports
    • Prospect research
    • Participate in funders events and processes
    • Event management - organize briefings and events for funders
    • Liaise with Program Officers

 

Individual Donor Resource Network:

  • Oversee donor engagement strategy with the Fundraising team
  • Collaborate with the Fundraising & Communications Associate on:
    • Database management
    • Creating fundraising-specific materials
    • Event planning
  • Review donor communications

 

Qualifications:

  • Demonstrated interest in, commitment to and passion for human rights and/or social justice is essential
  • Ability to work in a consensus driven setting that places a high value on collaboration and horizontal decision-making
  • Administrative and fundraising experience in a mission-driving, non-profit office environment
  • Management and supervision experience required
  • Experience working with remote staff preferred
  • Strong interpersonal and communication (verbal and written) skills
  • Highly organized
  • Ability to work independently and juggle multiple tasks
  • Ability to take initiative
  • Flexible
  • Detail-oriented
  • Finance or accounting experience is required, including experience managing accounts receivable and payable
  • Event planning experience preferred
  • General administrative experience is a must, including organizing meetings, taking notes, arranging travel and managing calendars
  • Human Resources experience is a plus
  • Competency with Microsoft Office, QuickBooks and database software is a must
  • Higher education, such as a Bachelors or Masters Degree, strongly preferred
     

Salary & Benefits:
