Operations Assistant Position

PRIMARY PURPOSE:

 

Working closely with the Executive Director and Chief Operating Officer, the Operations Assistant will play a significant support role in ensuring the day-to-day operations of the organization are smooth and effective.

 

DUTIES AND RESPONSIBILITIES:

·      Manage the day-to-day operations of the organization's office, including maintaining team calendar and contact databases, managing supply inventory and general office maintenance, preparing for meetings and conferences, and submitting staff reimbursement reports

·      Support the Executive Director with special projects, including creation of presentations and tracking of other group and candidate spending, in addition to maintaining calendar and contact information and assisting with travel arrangements as needed

·      Support the Chief Operating Officer with the accounting, budget, compliance, FEC reporting, and HR functions of the organization

·      Manage the organization's documents, files, and media in order to ensure that there is a central, organized repository of HMP's work throughout the cycle

·      Assist in the maintenance donor and contributions database and spreadsheets

·      Manage correspondence with prospective and current donors, including contribution acknowledgements, follow-up requests, mailings, etc.

·      Develop knowledge of relevant campaign finance laws

 

KNOWLEDGE, SKILLS, AND ABILITIES DESIRED:

·      Demonstrated commitment to promoting Democratic values and causes

  • BA/BS degree and/or two or more years experience as an Executive Assistant, Finance Assistant, or similar position; Prior experience working with Democratic campaign and party committees or politically-oriented progressive non-profits helpful, but not required
  • Prior experience with independent expenditure spending and media buying a plus
  • Strong work ethic and willingness to take ownership of wide-ranging responsibilities; ability to work independently and proactively
  • Ability to work under pressure and remain flexible and adaptable as needs and priorities change; experience managing to multiple deadlines
  • Impeccable assertiveness, as well as discretion and diplomacy in handling confidential and sensitive issues
  • Excellent organizational skills with keen attention to detail
  • Solid verbal, written, research, and interpersonal skills
  • Strong and demonstrated computer skills, including proficiency with MS Office suite, (especially Word, Excel, and PowerPoint); Prior experience working with NGP
  • Sense of humor, ability to have fun, and an interest in working within a high-performing team environment

 

LOCATION:                           Washington, DC

START DATE:                       March 2016

TRAVEL:                               Little to no travel required

SALARY:                               Commensurate with experience
