NOTICE OF POSITION VACANCY

ADMINISTRATIVE ASSISTANT/OFFICE MANAGER

AFSCME New Jersey Organizing Committee 963

Hamilton, NJ

Salary starts at:  $40,000

 

Provides overall coordination of daily administrative activities of the Executive Director and the Organizing Committee by monitoring the work flow, keeping the Director or designee abreast of daily activities, being knowledgeable of the status of project activities and performing follow-up procedures on matters for the Director, and directing office support personnel.

 

Primary Responsibilities:  Assists the Director in handling the department's confidential affairs; Receives, reviews, proofreads, and determines the most effective and efficient methods for accomplishing all incoming work; Receives and reviews mail; redirects and refers mail as necessary; Maintains a correspondence and request log identifying type of correspondence, subject, date, and principals; Approves subordinates leave requests, allocates assignments to ensure adequate clerical support, and completes work evaluations; Coordinates professional leave schedule with the Director; Coordinates the collection and preparation of reports and monitors budget expenditures.  Consults with vendors or other sources, to determine costs; writes justifications for expenditures; Maintains a daily activity tickler file for the Executive Director.  Reviews file daily to keep Director abreast of project deadlines or meetings; Maintains office calendar with other information regarding travel and activities of the Executive Director and relevant staff; Acts as initial contact/reference person for the office.  Reviews and answers general correspondence for the Executive Director and makes necessary decisions required to ensure timely accomplishment of the Organizing Committee's objectives and projects as required; Maintains and publishes a weekly schedule; Consults regularly with the professional and technical staff to keep abreast of activities which impact the office. 

 

Skills:  Advanced knowledge of modern office practices and procedures; Knowledge of labor unions and their operations; Ability to quickly adapt to changing situations for the purpose of accomplishing results; Advanced skill in the use of Microsoft WORD, EXCEL, ACCESS AND PowerPoint; Ability to communicate effectively both orally and in writing; Ability to effectively organize and exhibit leadership capabilities; Ability to develop and use a confidential filing and retrieval system; Some travel may be required; Ability to work under tight deadlines in a high pressure environment and to work extended hours as required.

 

Education & Experience:  Graduation from high school and extensive knowledge of office management and administrative skills; Any equivalent combination of education and experience which would be acquired through the completion of an Associate's degree and five years' experience as an executive or senior office supervisory support person working in a confidential environment.
