Background:

The Alliance for Safety and Justice (ASJ), a project of the Tides Center, aims to replace over-incarceration and racial disparities in the US justice system with new safety priorities rooted in prevention and community health. ASJ aims to take advantage of the new national attention to the problems of over-incarceration to achieve significant reductions in state-based incarceration and to advance the capacity of state-based reform advocates to transform state-based safety and justice policy priorities. ASJ works with state leaders, advocacy organizations and crime survivors in states across the country to elevate new voices, and engage in strategic communications, alliance-building, issue education and policy advocacy. ASJ is committed to both reforming state justice systems and empowering the communities most harmed by crime and incarceration. ASJ is the sister organization of Californians for Safety and Justice, a project of the Tides Center, and Alliance for Safety and Justice Action Fund, a 501(c)4 project of The Advocacy Fund.   

Position Summary:

This is a start-up organization with a big vision.  ASJ is entering a period of rapid growth while simultaneously executing fast paced multi-state campaigns.  The Executive and Program Assistant provides all levels of support to the Vice President and will play a pivotal role in working to advance the programmatic and operational work. The Program Assistant will serve in a hybrid administrative and programmatic role. This person must be highly detail oriented and comfortable taking on a wide range of activities, including logistics and travel as well as engagement with stakeholders, advocates, and policy decision makers. This is a fantastic position for individuals with strong administrative experience and a desire to develop program experience and gain a wide range of exposure to policy, campaigns, and social justice leadership.

The Executive and Program Assistant supports the Vice President in his role of overseeing multi-state campaign and advocacy work and all of the programs of Alliance for Safety and Justice. The position works with the vice President on a daily basis, including travel with the VP, to ensure high quality execution and follow up for all administrative tasks and to ensure all program needs are met. This position will be evaluated based on the ability to handle administrative support work, programmatic support work, and advance the goals of the organization while preserving a positive and supportive organizational culture.

Essential Duties & Responsibilities:

  • Support the VP by attending and taking notes for meetings held by the Vice President; track next actions coming out of those meetings; ensure proper follow up on all next actions

  • Support the VP in all aspects of calendar management; from scheduling to ensuring proper briefings for meetings are provided and a high level of detail is tracked in the calendar; as well as appropriate time is set aside for planning and other meetings

  • Carry out executive assistant responsibilities including booking travel, preparing materials, tracking receipts, and orchestrating logistics

  • Support the VP in carrying out a wide range of programmatic activities as needed, including organizing events, engaging in entry-level research on different states' criminal justice issues, and engaging with grantees, allies and stakeholders to carry out various program-related activities    


  • Help manage a master calendar of all events and activities in states

  • Work closely with ASJ Managing Director of State Campaigns, and state directors to update ASJ campaigns Gantt chart to coordinate around campaign benchmarks


Education and/or Experience

  • Five plus years of administrative experience, with a strong preference for executive assistant experience for a senior executive with a strenuous travel schedule and a wide range of programmatic and leadership responsibilties  

  • College degree or equivalent work experience in public policy, advocacy, or mission driven nonprofit service.

  • Experience working with diverse communities and a deep commitment to social and racial justice.

  • Experience managing systems with the ability to work well with diverse stakeholders;

  • Experience developing and administrating systems for large organizations;

  • Experience supporting work of organizations, staff and consultants at a distance;

  • Experience working effectively in a fast paced environment where staff are not in the same location;

  • Experience in administrative or operations work supporting a large organization.


Skills & Qualifications:

  • Strong attention to administrative detail

  • Strong capacity to take high quality and useable notes, and track next actions

  • Highly professional attitude and collaborative approach to work  

  • A keen interest, experience and/or training in developing and implementing management systems and human resource strategies;  

  • Highly organized, creative and passionate about ASJ's mission;

  • Excellent writing/editing and verbal communication skills;

  • Excellent interpersonal skills and a commitment to personal growth and learning;

  • Flexible, goal oriented and able to work odd hours and travel as needed;

  • Passion for criminal justice reform and a deep commitment to elevating the voices of those most harmed and least helped by current approaches to incarceration and crime in advocating for change;  

  • Self-starter, able to work independently, and entrepreneurial; enjoys creating and implementing new initiatives and systems for communications and accountability.


Organizational Relationship

  • Reports to the Vice President of ASJ


Physical Demands

  • The position requires the operation of a telephone and computer for up to 8 hours per day. Some travel throughout the United States.


Work Environment

  • Sacramento, CA preferred but remote location possible with a likelihood of frequent  travel throughout United States for the right candidate.
