About the Position

Oil Change International is seeking an experienced, detail-oriented Operations and Finance Manager for a part-time or full-time position. The Operations and Finance Manager would work with the Managing Director to oversee the financial and administrative functioning of our organization.

Duties

  • Process invoices, expense sheets, and collect receipts
  • Process income, including foundation grants and individual donations, depositing checks when necessary
  • File copies or scans of invoices, payments, deposited checks, and code financial statements
  • Scan and file grant agreements and update grant report tracking sheet
  • Address, print, and send individual donation acknowledgement letters
  • Work with and respond to accountant and auditor requests
  • Ensure compliance with state laws and tax regs (registration, unemployment, etc.)
  • Send out paystubs and W2s and assist staff with basic employee benefit questions
  • Maintain contractor and vendor information
  • Misc admin tasks as needed (i.e. purchasing needed office supplies, requesting quote comparisons, assisting staff with administrative questions, etc.)
  • Manage relationships with contractors such as report designer/printer
  • Support logistics around staff gatherings and retreats
  • Potentially provide basic information technology support or publications support, depending on experience
  • Potentially plan local educational or fundraising events and/or support travel logistics for remote meetings, depending on experience
  • Additional administrative and finance tasks as needed. 

Qualifications

  • College degree or equivalent experience
  • At least five years of experience with administrative and/or financial tasks for a non-profit organization or small-to-medium sized business
  • Excellent attention to detail
  • Strong written and verbal communications skills
  • Familiarity with Microsoft Word and Excel
  • Interest in and enthusiasm for environmental and/or energy issues
  • Additional information technology or basic design skills a plus
  • Experience with event planning or managing logistics a plus

Salary: Commensurate with experience, plus generous health, dental, and retirement packages.
