ABOUT THE ACLU OF KANSAS
The American Civil Liberties Union (ACLU) of Kansas is a non-profit and non-partisan organization dedicated to preserving and advancing the civil rights and legal freedoms guaranteed by the United States Constitution and the Bill of Rights. The ACLU of Kansas works in the state legislature, the courts, and local communities to protect the rights of all people living in Kansas. The organization's work includes efforts to strengthen and defend First Amendment rights, voting rights, reproductive rights, racial justice, LGBT rights, immigrants' rights, stopping government surveillance, and reforming the criminal justice system. The ACLU of Kansas often works in broad-based coalitions made up of individuals and organizations from across the political, partisan, and ideological spectrum. The ACLU of Kansas is an affiliate of the national American Civil Liberties Union, has a consolidated annual budget of approximately $1.4 million, and has more than 30,000 supporters across the state. The headquarters of the ACLU of Kansas is in Overland Park, Kansas, with a field office located in Wichita, Kansas.
The ACLU of Kansas comprises two separate corporate entities, the American Civil Liberties Union of Kansas and the ACLU Foundation of Kansas. Both entities have the same overall mission, and share office space and employees. The ACLU has two separate corporate entities in order to do a broad range of work to protect civil liberties. The ACLU Foundation of Kansas is a 501(c)(3) non-profit corporation that primarily engages in litigation and public education. The ACLU of Kansas is a 501(c)(4) non-profit corporation that primarily engages in lobbying and advocacy.

POSITION OVERVIEW
The ACLU of Kansas seeks a dynamic, creative, self-motivated team player to serve as its Director of Finance and Administration. The Director of Finance and Administration is a member of the affiliate's leadership team, reporting directly to the Executive Director. The position is primarily responsible for maintaining the day-to-day fiscal management of the office (including accounting, bank reconciliation, general ledger entries, annual audit, and financial reports), human resources, purchasing, and vendor management. The position is based in Overland Park.
PRIMARY RESPONSIBILITIES
· Maintain a bookkeeping system (e.g., QuickBooks) to prepare deposits, pay invoices, issue invoices; reconcile bank statements, track credit card donations and expenses.
· Maintain payroll and personnel records; work with payroll company to ensure accuracy; maintain and update time-out vouchers from employees; facilitate payment of 401k deductions and health care premiums.
· Under the direction of the Executive Director and the Board's Finance Committee, work with an outside auditor, coordinate the preparation of all tax reports and annual audit.
· File required reports, including annual reports to the state, charitable solicitation license, and lobbyist registration forms.
· Assist the Executive Director in preparing the annual budget.
· Work with senior staff to develop specific programmatic budgets.
· Monitor and maintain insurance policies.
· With the Executive Director and Development Director, develop program budgets to be used in foundation requests; track foundation reporting deadlines; draft final budget reports on grants, communicating, as necessary, with relevant program staff to ensure high-quality reports.
· Prepare monthly budget reports and updated budget projections for two corporations; keep Executive Director informed about budget status and cash-flow.
· Monitor investment accounts and serve as the primary point of contact with outside investment advisors.
· Provide staff support to the Board's Finance Committee, including through the preparation of reports for the committee.
· Reconcile receipts between accounting software with fundraising software with the development staff.
· Prepare reports for the Executive Director as needed.
· Maintain and update financial, investment, and human resources policies.
· Assist the Executive Director and other hiring managers with hiring and recruitment.
· Manage the employee benefits programs, vacation and sick leave records, and personnel records; issue administrative policies to staff as needed; maintain new staff orientation materials.
· Review, on an annual basis, health care costs, research health care plan adequacy, survey staff to determine needs, and recommend modifications to the Executive Director.
· Oversee office space changes.
· Supervise information technology service providers to ensure the reliable and efficient use of computers and other technology.
· Develop and maintain relationships with finance staff at the National ACLU.
· Supervise the Operations Manager.
· Perform other duties as assigned by the Executive Director.
QUALIFICATIONS
Required Qualifications
- BA required, preferably in a field related to accounting or financial management.
- At least five years of experience in administrative bookkeeping and/or financial management.
- Experience using accounting software. Experience with QuickBooks is strongly preferred.
- Excellent organization and problem-solving skills.
- A strong attention to detail.
- Ability to manage several projects at various stages of completion simultaneously.
- Experience with and a high degree of comfort working with technology.
- Ability to work independently when necessary and keep organized in a fast-paced environment, manage several projects simultaneously and adjust to frequently changing demands.
- Understanding of how to work collaboratively with colleagues across departments and functions.
- Commitment to the highest ethical standards of advocacy and professionalism.
- A personal commitment to equity and inclusion, and a personal approach that values the individual and respects differences.
- A strong commitment to the goals of the ACLU.
Preferred Qualifications
- Experience managing other administrative and accounting staff is strongly preferred
COMPENSATION
Salary is commensurate with experience within the ACLU of Kansas compensation scale. The salary scale for this position is in the low $60,000s. The ACLU of Kansas offers excellent benefits, including medical and disability insurance (fully paid by employer), a 401(k) match program, and generous vacation, holiday, and sick leave.
