BerlinRosen Public Affairs is seeking an experienced Executive Assistant to direct the administration for the executive office of a division of a fast-paced and growing national consulting firm. Helping support leadership of the firm's national division, this person will have exposure to the firm's work with clients who are at the forefront of progressive work around low-wage worker advocacy, women's issues, racial justice, voting rights, the environment, human rights, LGBT issues, healthcare, education, money in politics and ending mass incarceration.
This person will provide administrative support to the division's executive office in New York, the Managing Director, and Executive Vice President. This person will be responsible for managing scheduling, travel arrangements and meeting logistics andprovidinggeneral administrative. The person will also have the opportunity to lead special projects.
The ideal candidate will be outgoing and proactive, have professional office presence and phone manners, complete discretion and poise under pressure, effective written and oral communication skills, excellent attention to detail and the ability to prioritize time-sensitive assignments.
Responsibilities:
- Directing the administration of the executive office of BerlinRosen's national division
- Administrative support for the Managing Director and an Executive Vice President
- Make and manage travel arrangements
- Communicate with clients on behalf of the firm
- Lead and execute research and other special projects
- Organize meetings and internal events including scheduling, preparing agendas and materials, taking notes, coordinating follow up and catering
- Maintain updated internal tracking and data systems and data analysis
- Coordinate with the Operations team on all new hire and technical support
Qualifications:
- Experience managing the schedule of senior-level staff in a fast-paced environment
- Outgoing, friendly demeanor
- Exceptional problem solving and research skills
- Strong proficiency with Google office applications (email, docs, calendar etc), MS Office, including Outlook, Word, Excel andPowerPoint, LexisNexis and Slack
Adept at spreadsheet management and data analysis
Proficiency with professional services platforms Clicktime, Abacus, Namely, Cision
Basic understanding of office technology such as video meeting tools
- Strong organizational skills and attention to detail
- Ability to exercise discretion, independent judgment and takeinitiative
- Someone who follows current events and local, state and national politics
- A sense of humor
