Executive Assistant
Summary:
For Our Future, a 501(c4) and Super PAC, is seeking an Executive Assistant to facilitate the day to day scheduling for Executive team members. This is a full-time position with benefits & competitive pay. Salary commensurate with experience. This position will report directly to the CEO and will work with the Executive team.
Duties and Responsibilities:
Oversees, schedules and manages meetings and appointments on Executive team member calendars.
Manages and tracks all expenses related to executive office: contracts, appointments, and events.
Provides excellent customer service to employees, clients, and guests; and serves as the first point of contact to the CEO.
Proof all memoranda for grammatical errors prior to distribution for CEO and other executive team members.
Coordinates and communicates with the senior team to schedule team meetings with the CEO.
Records high priority goals and action items at various high-level meetings
Updates internal operational procedure documents as needed.
Orders, stores and organizes all office supplies & equipment.
Supports CEO in managing and resolving operational issues.
Sorts and distributes mail and emails to respective personnel.
Stores, files and retrieves national documents and reports as needed.
Manages incoming and outgoing mail and packages.
Maintains employee confidence and protects operations by keeping information confidential.
Qualifications:
Meticulous attention to detail.
High school diploma or GED.
Familiarity with Google Applications: Google Calendar, Gmail, Google Drive.
Ability to travel and work outside of normal business hours.
Experience working on time-sensitive projects in a fast-paced environment.
Exercises good judgment in high-pressure situations.
Flexibility and a willingness to take on new tasks as the responsibilities of the position evolves.
Strong verbal and written communications skills; and interpersonal skills.
Maintains enthusiasm and calm demeanor in stressful situations.
Supervisory Responsibilities:
None
Work Environment:
Work is performed in an open office environment.
Physical Demands:
The physical demands of this job require bending, sitting, and answering phones that may require repetitive motion.
Expected Hours of Work:
Normal business hours are Monday thru Friday from 9am-6pm.
Employees may be required to work outside of normal business hours including, nights, weekends, and holidays.
Required Education and Experience:
High school diploma or GED equivalent.
Minimum 1-year experience in a related field.
Preferred Education and Experience:
Bachelor's degree
2 years' experience in a related field.
