EMILY's List, the nation's largest resource for women in politics, is searching for a Special Assistant to the Executive Director to join our Executive team.  EMILY's List has raised over $600 million to elect pro-choice Democratic women candidates. With a grassroots community of over five million members, EMILY's List helps Democratic women win competitive campaigns – across the country and up and down the ballot – by recruiting and training candidates, supporting strong campaigns, researching the issues that impact women and families, and turning out women voters to the polls. Since our founding in 1985, we have helped elect 150 women to the House, 26 to the Senate, 16 governors, and nearly 1,100 women to state and local office. Nearly 40 percent of the candidates EMILY's List has helped elect to Congress have been women of color. During the historic 2017-2018 cycle, EMILY's List raised a record-breaking $110 million dollars and launched a record independent expenditure campaign. We helped elect 34 new women to the House, including 24 red-to-blue victories; enough seats to have delivered the U.S. House majority alone. Since the 2016 election, more than 40,000 women have reached out to EMILY's List about running for office laying the groundwork for the next decade of candidates for local, state and national offices.  

 

Principal Responsibilities

 

The Special Assistant provides high-level administrative coordination and support to the Executive Director while maintaining a high level of confidentiality. The Special Assistant's duties include managing schedules, speaking engagements, social media accounts (as needed), meetings and events, and working with the Executive Director and other staff on various special projects. In this role, the Special Assistant also serves as a liaison to the Board of Directors and provides support to the Chair of the Board.

 

Specific Duties

·         Completes a broad variety of administrative tasks for the Executive Director including, but not limited to: managing an extremely active calendar; serving as a gatekeeper in screening visitors and callers; managing all signatures; copy editing materials; arranging complex and detailed travel plans, itineraries, and agendas;

·         Interacts with all levels of staff, visitors, and external stakeholders, while maintaining an appropriate professional demeanor;

·         Develops engagement strategies to implement and amplify the Executive Director's priorities and agenda;

·         Serves as liaison between Executive Director, senior leadership team and staff;

·         Oversees special projects at the discretion of the Executive Director;

·         Keeps Executive Director abreast of special requests;

·         Drafts executive-level correspondence;

·         Provides extensive operational and logistical assistance such as compiling all briefing materials for trips, speeches, and meetings for Executive Director;

·         Arranges travel logistics and produces detailed itineraries for Executive Director;

·         Receive and pay all necessary invoices and track expenses for the Executive Director;

·         Coordinate all meetings for the Executive Director and routine staff meetings—including material preparation scheduling, ordering refreshments, and setting up conference rooms with audio, visual and conference call needs;

·         Works closely and effectively with the Executive Director to keep her well informed of upcoming commitments and responsibilities, including key decisions, following up appropriately;

·         Coordinates all staff and senior leadership team retreats, board meetings and communication, and monthly all staff meetings, working with the Chief Administrative Officer as appropriate;

·         Manages speaking requests received for the Executive Director and ensure requests are responded to appropriately;

·         Assists the Executive Director in development-related tasks including (as needed) call time and event follow-up;

·         Provides assistance to the Chair of the Board of Directors;

·         Manage Executive/Admin Office Intern(s);

·         Works with Executive Director to create a comprehensive history of EMILY's List and archive historical documents;

·         Serves as back up to the Office of the President of EMILY's List;

·         Perform additional duties as assigned.

 

Qualifications

 

·         Qualified candidates must have outstanding interpersonal skills, strong follow up and follow through skills, and high attention to detail. 

·         Candidates must have experience supporting a high-level executive and the ability to juggle multiple tasks simultaneously. 

·         The ideal candidate is creative, optimistic, dedicated, remains calm in difficult situations and has the ability to work effectively in a fast-paced environment. 

·         The ideal candidate is able to work flexible work hours and has the ability to travel.

·         The ideal candidate must have strong knowledge of MS Office and Google Suite.

·         Knowledge of Concur and NGP is helpful.

·         Commitment and passion to elect pro-choice Democratic women as well as the diversity of our candidates, membership, partners and staff required.
