The Climate Reality Project, a nonprofit organization founded by former Vice President Al Gore, is offering a full-time position for an Advancement Operations Associate to work with the Advancement team. This position will play an integral role in a fast-paced organization that combines strategic campaigns and engagement and cutting-edge communications to win concrete victories on the path to solving the climate crisis.
General Overview: The Advancement Operations Associate is responsible for general administrative support for the Advancement department and the office of the President and CEO as it relates to all Advancement and fundraising activity.
Duties and Responsibilities:
Specific duties and responsibilities include, but are not limited to the following:
- Processing all incoming gifts and preparing accurate acknowledgement letters.
- Managing and maintaining all files, records, and lists for the department, including but not limited to: the Advancement Team calendar; grant reporting calendar; major donor and foundation prospect research; subscription lists; contribution trackers; and communication logging in Salesforce.
- Preparing written materials for meetings and events for the Chairman, President and CEO, and senior staff, including call sheets, research and vetting reports, and briefings.
- Maintaining Advancement team meeting schedules as well as preparing agendas and meeting notes.
- Ensuring accurate record retention of donor-related documentation in Salesforce, including up-to-date and consistent management of the moves management cycle.
- Assisting the Charitable Giving Officer with prospect identification research, organizing and maintaining accurate and up-to-date research on current donors and newly identified prospects and foundations.
- Preparing restricted gift memos and ensuring organization of shared folders with relevant departments.
- Processing team invoices, ensuring compliance with workplace giving platforms, and managing all team subscriptions.
- Acting as key liaison between the Finance and Advancement departments, including but not limited to: preparing quarterly reconciliations; managing the department budget; and assisting where necessary during the annual audit review.
- Executing stewardship of current donors.
- Assisting with mailings, including complex mail merges, and annual year-end direct mail appeal.
- Managing fundraising event reconciliations and assisting with general event execution where needed.
- Answering general donor inquiries, as well as assisting with coordination of chapter fundraising.
- General administrative duties.
- Other duties as assigned.
Qualifications
- Bachelor's degree.
- 1-2 year of fundraising or development experience.
- Salesforce or CRM experience preferred.
- Highly detailed-oriented and organized.
- Experience using research software and tools a plus.
- Exceptional written and verbal communication skill.
- Proven critical thinking skills.
- Ability to work independently as well as part of a team.
- Demonstrated good judgment and discretion.
- Ability to multi-task and prioritize.
- High proficiency in MS Office applications, especially MS Word, Excel, and PowerPoint.
- Mac experience preferred.
