Position: Executive Assistant to the President
Organization Description:
For the last 16 years, the Voter Participation Center (VPC), a 501(c)(3) civic engagement organization, has led the way in recognizing and harnessing the potential power of the Rising American Electorate (RAE) – unmarried women, people of color, and young people – as a vital voting bloc. VPC has positioned itself as the leading experimental and scientific civic engagement organization by accumulating more than a decade's worth of knowledge and experience in registering and turning out the new majority of eligible voters. VPC's programs have consistently proven to be some of the most impactful and cost-effective programs—and to date VPC has registered almost 4 million Americans to vote. VPC continues to innovate with its approach and techniques to impact greater civic engagement, registration, and turnout.
The Center for Voter Information (CVI) is a separate but affiliated progressive 501(c)(4) nonprofit that works to engage and persuade both the RAE as well as the broader electorate.
Position Description:
The VPC and CVI seek an experienced, talented individual to join our team as the Executive Assistant to the President in our Washington, DC office. The Executive Assistant will manage the President's daily schedule while in the office, at outside meetings, and arrange all details of an extensive nation-wide travel schedule. The Executive Assistant will keep and manage all the documents for the President, including past meetings, program notebooks, briefing documents, and the like.
The Executive Assistant will be responsible for coordinating the professional and personal time of the President. The Executive Assistant will assist the President in organizing and setting priorities for the President in a way that reflects the overall strategic goals of the organization and within departments. This individual will work with other members of the staff and coordinate closely with the Manager of Executive Affairs. Responsibilities include: scheduling and facilitating meetings, producing and managing documents for briefings for all meetings, provide a weekly update of the President's program book, and for the production of travel trip books, and administrative and personal support.
Specific Duties:
Scheduling & Facilitating Meetings: Manage correspondence regarding meeting requests for the president; develop/obtain itineraries, work to coordinate travel arrangements, produce agendas, briefing and other materials for the president's travel and external and internal meetings; maintain the President's calendar in coordination with the Manager of Executive Affairs.
Document Management: Generate the President's meeting packets, organization program book, documents, travel trip book, and presentations as appropriate; produce memos, briefings, and other supplemental materials as assigned in coordination with departmental directors. Keep meeting records that relate to President's primary responsibilities and create a system of retrieval. Document management includes understanding timelines for speeches, fundraising meetings, financial reporting, board meetings and communications and the like and helping to ensure that the timeline for document production is met.
Administrative Support: Maintain the President's organizational and personal contact lists and office files; various tasks such as data entry and event coordination as needed and assigned.
Skills/Qualifications:
At least two – three years' experience with scheduling either on Capitol Hill, as advance staff on a campaign, or working for a senior executive in a nonprofit organization is required. Familiarity with and interest in electoral politics and voting behavior, particularly among the Rising American Electorate, is desired. The ideal candidate is a self-starter and independent learner who is flexible and comfortable dealing with evolving and competing priorities. Level-headedness, a pleasant attitude, and good judgment are critical requirements. A broad base of administrative skills, familiarity with presentation software, excel spreadsheets, quantitative data, and scheduling protocols, and a strong level of computer proficiency is essential.
Applicant must be interested in having familiarity with the programs, history, and metrics of VPC and CVI. Applicant must want to work in a very fast paced environment as well as managing a strategic application of the President's time. Attention to detail is a fundamental quality.
Compensation and How to Apply:
The salary range for this position is $55,000-$60,000 annually; in addition, VPC/CVI offers a very generous benefits package, including 100% coverage of healthcare premiums.
