Position Description:
The Program Associate will provide strategic support to the Director of Immigrant Rights and the Immigration Team, with particular emphasis on scheduling, management of administrative tasks, handling frequent travel requests, planning, research, writing, and project management on special projects and/or initiatives. This position will also provide program and administrative support to the Immigration team, and play a key role in promoting a sustainable, professional, organized, and collaborative atmosphere.
The Program Associate is an innovative self-starter, who takes initiative and drives projects and tasks to completion. The individual thrives in a fast-paced environment, can work both independently with minimal supervision and collaboratively as part of a team, they demonstrate good judgment, and are flexible and highly trustworthy.
A portion of time may be spent working with Community Change's sister organization, Community Change Action.
Principal Responsibilities:
Immigration Team Administration
- Provides extensive and effective calendar management for the Director of Immigrant Rights (ensuring a clear purpose and strategic use of their time.)
- Supports the Director of Immigrant Rights by planning for meetings by capturing notes and driving timely follow-up.
- Schedules and plans internal team meetings and external convenings. This includes compiling and organizing relevant background information; managing the participants, budget, logistics, and technology needs; preparing materials; capturing strategic notes; and monitoring follow-up activities and next steps.
- Process and submit expense reimbursements; reconciles credit cards; and ensures timesheets and leave requests are current for the Director of Immigrant Rights.
- Develops and implement recommendations to improve systems within the Immigration Team.
- Provides general administrative support to the broader Immigration Team;, coordinating tech needs for team calls, preparing materials for team events etc.
- Other duties as assigned.
Event and Project Management
- Oversees and manages logistics for specific Immigration Team, FIRM Network, and FIRM Executive Committee meetings, conferences, workshops and This includes securing and managing contracts and developing and tracking budgets.
- Coordinates special projects under the supervision of Senior Immigration Staff.
- Staffs the immigration team's Senior Staff at special events, as needed.
- Works closely and professionally with the relevant allies, partners, consultants and departments across the organization to coordinate Community Change meetings and/or events.
- Serves as point person between Senior Immigration Staff and other program and campaign staff within Community Change/Action.
Writing and Communications
- Responsible for taking notes during team and external meetings and is able to synthesize and circulate information in a timely fashion.
- Prepares draft presentations, and formats letters and emails as appropriate for general and routine correspondence.
- Handles internally and externally electronic and mail correspondence, including potentially confidential information, for the Director of Immigrant Rights.
- Performs research and provides writing support for Senior Immigration Staff, as needed.
- Prepares travel or meeting-related documents, briefings, reports, etc.
Qualifications:
- Three to five years of experience in a non-profit or similar environment.
- Proven experience managing calendars for senior-level staff/executives.
- Excellent meeting and event planning and logistics coordination.
- Ability to prioritize tasks and work accurately under deadlines and the pressure of a fast-paced work environment.
- Familiarity with the world of social change organizing and advocacy.
- Strong writing and editing skills with an ability to adapt to different writing styles and formats.
- Must be able to communicate information and ideas clearly and concisely.
- Sensitivity to confidential matters is required.
- Computer literacy required, including MS Office Suite and G-Suite skills.
- Familiarity with Slack, Salesforce platforms and Zoom video conferencing system a plus.
- Excellent inter-personal communications skills, diplomacy and discretion.
- Team player with the capacity to be resourceful and flexible.
- Ability to travel for Community Change and Immigration Team events.
- Commitment to economic, race and gender justice essential.
This person reports to: Immigration Field Director
Classification: Community Change recognizes a staff bargaining unit affiliated with IFPTE Local 70, a union for non-profit workers. This position is included in Community Change's bargaining unit and covered under the terms of the collective bargaining agreement.
Travel Requirements: Very limited (approximately 2-4 times a year).
Salary & benefits: $50,000 – $65,000 annual salary. Community Change also offers an excellent benefits package, which includes 4 weeks of annual paid vacation; additional paid holiday leave between December 24 and January 1; 8% employer contribution to retirement account after six months of employment (and 3% employer contribution for the first 6 months); and a choice of generous health insurance plans.
This position is located in Washington, DC.
