Position Title: Operations + Culture Associate
Mosaic Strategies is looking for an Operations + Culture Associate to join our growing team and help us function effectively and efficiently. You will be responsible for developing and implementing financial and HR systems while maintaining positive relationships with vendors, clients, and internal staff.
This role requires a tech-savvy individual with a strong ability to understand and learn different financial platforms, analyze operational and financial data, and possess an interest in making the world a better place. The position will work under the direction of a company Partner who leads Operations and has the option to be fully remote.

What you'll be doing day to day:
Finance
- Review incoming project contracts to set up in the project management system so that they align with billing procedures
- Perform bookkeeping and account reconciliation
- Keep an ongoing eye on contract-related business to report budget status
- Compile client invoicing and track invoice approvals to send to clients from account managers
- Chart and report open invoices for status, late fees, and facilitate oversight of collections and/or follow up procedures of account managers
- Compilation of the company's monthly and annual reports
HR + Culture
- Assistance with recruitment activities
- Collection of new hire paperwork, onboarding checklist, organize onboarding activities with assigned supervisors.
- Update team on changes to benefit programs and HR provider
- Schedule and coordinate company team events
- Manage client appreciation opportunities
Operations
- Overseeing payroll submissions and expense reimbursement tracking
- Supporting 401k and benefit programs
- Troubleshoot and support team across departments (Project Managers, designers, and developers)
- Coordinate IT needs for team
- Provide occasional support on a special project for leadership
- Documenting company policies and procedures
- Oversee and maintain government-related paperwork and compliance documents
- Vendor management, reviews, and recommendations
About You:
- You are detailed-oriented and like to solve problems with long-term processes
- You will have experience working with project management software for activity tracking scope monitoring
- Experience with Quickbooks for billing and expenses.
- You'll constantly be learning more about the business and industry and raising the bar to optimize our operations to deliver on our internal and external goals and business mission.
- Technology comes easily to you. In this role you won't be expected to be an advanced product expert, but you will need to have an affinity for and deep understanding of industry lingo as it pertains to our services such as websites, apps, digital marketing, and social media.
- This role is relatively new to Mosaic so you should be the type of person who is excited about crafting a niche for yourself.
Qualifications:
- 3-5 or more years of experience in operations, administration, HR, culture management, development, budget management, office management, and/or book-keeping.
- An active interest in technology and creating a team culture online.
- Willingness to learn, be creative, and be proactive.
- Interest and experience in the following: HR, finance, operations, administration, culture/ people support work.
- Cultural competency and empathy to work in and help build a team with people from diverse backgrounds.
Salary Range: $50,000 - $60,000 + Benefits
