Administrative Coordinator, Centennial Initiative

 

Planned Parenthood Federation of America (PPFA) is the nation's leading women's health care provider, educator, and advocate, serving women, men, teens and families. The Brand & Marketing department seeks an Administrative Coordinator. Reporting to the Associate Director, Brand Engagement, he/she will coordinate, oversee and/ or perform a wide variety of administrative and systems support to Planned Parenthood's Centennial Initiative. The position requires a highly organized, personable individual. The chosen candidate must be detail oriented, work well independently and thrive in a fast paced, dynamic environment. General duties include meeting scheduling and planning, budget processing, document creation and management, project support and general office management.

 

Duties And Responsibilities Will Include:

      Assist the Centennial Initiative team with scheduling, travel planning and other tasks as required.

      Schedule appointments, conference calls, etc, between national and affiliate staff, external partners, and other stakeholders, as required. Take meeting minutes and provide agendas and pre-read materials when appropriate.

      Provide meeting support for team meetings, including travel planning, scheduling, securing space and catering.

      Assist in the processing of invoices and contracts

      Process and submit expense reports for staff

      Work with the Associate Director, Brand Engagement to maintain project trackers and calendars to insure appropriate progress is being made, deadlines are being met, and all team members are appropriately informed for various projects.

      Draft communications with affiliates and various PPFA departments

      Maintain internal databases, tools and resources

      Perform other related administrative duties as assigned

      Project work as assigned

 

Position Requirements:

      1-3 years of administrative work experience

      Advanced knowledge of Microsoft Office Suite (Word, Excel , PowerPoint) as well as experience with Google ( Mail , Calendaring, Drive)

      Ability to effectively and efficiently handle multiple, simultaneous, and complex tasks and projects

      Knowledge of office management principles and procedures

      Ability to work with a wide range of constituencies and personalities across a diverse team and organization

      Collaborative team Player

      Pleasant disposition and excellent oral and written communications

      Ability to organize resources and establish priorities ; ability to negotiate and get to Yes

      Flexibility and able to adapt to quickly changing priorities and ambiguous situations

 

Education:

      Bachelors Degree Preferred

 

Travel:

      Minimal
