Position Description:
The Executive Coordinator is responsible for providing executive-level support to the Vice President of the Center for Community Change (who also serves as the President of Center for Community Change Action), with a particular emphasis on scheduling, management of travel and meeting/event logistics, and administrative support. This position also provides support to the broader Executive office, and plays a key role in promoting a highly effective team and organizational dynamic.

The ideal candidate is a self-starter, who exercises critical thinking, takes initiative, and drives projects and tasks to completion. The candidate must thrive in a fast-paced environment, and can work both independently with minimal supervision and collaboratively as part of a team. Demonstration of good judgment, flexibility and trustworthiness are essential.

A portion of time will be spent working with CCC's sister organization, the Center for Community Change Action.


Principal Responsibilities:


Scheduling and Coordinating Meeting/Events

  • Effective management of the Vice President of CCC/President of CCCA's calendar and appointments (ensuring clear purpose, specific agenda and optimal use of time).
  • Planning for meetings by creating agendas, capturing notes, and ensuring timely follow-up.
  • Provide scheduling and logistical support for CCC meetings, conferences, workshops and/or presentations.
  • Work closely and professionally with the relevant allies, partners, consultants and staff and/or teams across the organization to coordinate CCC meetings and/or events.
  • Work in close collaboration with Executive Office staff to coordinate organization-wide events including Board meetings, and provide support as needed to ensure successful planning.
  • Provide travel, back-up scheduling/calendar management to the CCC President, Managing Director, and/or Chief of Staff as needed.

Administrative Support

  • Manage and submit expense reimbursements, timesheets and leave requests for the CCCA President, and CCC President, and other Executive Office Principals as assigned.
  • Provide overall general administrative support including reception of phone calls and mail, copying, faxing, and ordering of supplies.

Board of Directors

  • Schedules, and serves as primary CCCA board liaison on all high-level administrative
  • matters.
  • Staffs and/or supports the Center for Community Change Action Board as needed.
  • Creates and disseminates board notes and minutes as requested, ensuring follow-up items are
  • handled and or communicated to the appropriate parties.
  • Supports CCC and CCCA Board call and/or meeting logistics.

Qualifications:

  • Three to five years of experience managing calendars for senior-level staff/executives.
  • Three to five years of experience in a non-profit environment.
  • Excellent meeting and event planning and logistics coordination.
  • Ability to prioritize tasks and work accurately under deadlines and the pressure of a fast-paced work environment.
  • Commitment to the CCC/CCCA's mission and values.
  • Strong writing and editing skills.
  • Computer literacy required, including MS Office Suite skills.
  • Excellent inter-personal communications skills, diplomacy and discretion (note: the employee is a confidential employee and is required to display a high degree of judgment, discretion, and confidentiality in carrying out his/her job functions).
  • Team player with the capacity to be resourceful and highly flexible.

Salary & Benefits: $50,000 – $55,000; CCC offers a competitive salary based on qualifications and an excellent benefits package, which includes 4 weeks of vacation; paid leave between December 24 and January 1; 3% employer contribution to a 401k at time of hire and an additional 5% at six months of employment (8% employer contribution); and a choice of health insurance plans.
