Operations Associate

 

DEMOCRACY ALLIANCE:

 

 The Democracy Alliance (DA) is a growing network of progressives who partner with, contribute to, and encourage collaboration among progressive organizations, strategists and donors at the national, state and local levels.

 

Over the last decade, more than $500 million has been raised to build and sustain elements of the progressive infrastructure – from multi-issue think tanks to a sophisticated media monitoring apparatus – that did not previously exist. As a result of DA strategy and funding, there have been numerous progressive electoral victories, and many progressive ideas and policies have been enacted – and achieved broad popular support.

 

In a nearly year-long consultative process, the DA has created its Vision 2020, setting out ambitious goals for the next five years that build on previous achievements. By 2020, the DA seeks to build an America where progressives hold the reins of power and use them to make significant impact on several of our nation's greatest challenges: a fair democracy where everyone can participate; an inclusive economy that works for all; and a planet that is healthy and safe. The DA is committed to addressing the issues of democracy, economic fairness and climate change together because they are deeply connected and sustainable progress will build on that principle.

 

As it has in the past, the DA is committed to building progressive power that produces electoral and policy victories, and to the infrastructure that can support those efforts. In addition, the DA will make new investments in state-based infrastructure and the key constituencies that comprise the Rising American Electorate (voters of color, young people and single women) and work closely with other communities that share our progressive values.

 

PRIMARY PURPOSE:

Reporting to the Director of Operations, the Associate will support the organization's operations department which involves projects related to human resources, office/facilities maintenance and general administrative support. 

 

DUTIES AND RESPONSIBILITIES:

  • Support the Director of Operations in managing the following tasks for the organization: maintain Production calendar; incoming and outgoing mail delivery; supply inventory and general office maintenance, including preparation for guests; manage cash receipts and make check deposits; answer main phone line
  • Assist in implementing appropriate human resources policies as well as ongoing record keeping, benefits administration and exit procedures.  Support the Director of Operations in recruiting, hiring, orientation and promotion of employees.
  • Assist in coordinating Information Technology systems need, including supervising the services provided by IT technicians
  • Working closely with Director of Operations and Chief Financial Officer in managing the accounts receivable/payable processes, including payroll, benefits and record keeping.
  • Managing and maintaining the relations with the property management
  • Assist Director of Operations in ensuring efficient and effective security and maintenance of the office
  • Procuring and maintaining office equipment/supplies and support Director of Operations in managing vendor relationships
  • Organizing, prioritizing and responding to large volumes of information, calls, e-mails and faxes 
  • Work collaboratively with the Alliance staff to prepare for bi-annual conferences and other events and to facilitate effective communications both internally and externally.
  • Special projects as needed

 

KNOWLEDGE, SKILLS, AND ABILITIES DESIRED:

  •   Demonstrated commitment to promoting progressive values and causes
  • 2+ years relevant work experience, preferably in operations, office management and human resources; background in politically-oriented non-profits or campaigns helpful, but not required
  • Excellent organizational skills with keen attention to detail ability to follow through
  • Strong verbal, written, research and interpersonal skills
  • Ability to work under pressure and remain flexible and adaptable as needs and priorities change; experience managing to multiple deadlines and "managing up" with supervisors to manage to multiple deadlines
  • "Take charge" personality; resourcefulness and ability to work proactively - thinking ahead on the calendar
  • Scheduling experience working with multiple busy calendars
  • Impeccable assertiveness, tact, and diplomacy in handling confidential and sensitive issues
  • Strong work ethic and willingness to take ownership for wide-ranging responsibilities; ability to work independently
  • Exemplary service ethic
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook and Salesforce.com (or other database software)
  • Familiarity with event management and event registration databases/processes a plus
  • Sense of humor, ability to have fun, interest in building a strong culture and high performing team

 

REPORTS TO: Director of Operations

BASED IN: Washington, DC

POSITIONS AVAILABLE: One

START DATE: Immediately

TRAVEL: Some travel may be required.

SALARY: Commensurate with experience, education, and ability
