COMMUNITY JUSTICE ACTION FUND EXECUTIVE COORDINATOR
The Community Justice Action Fund (CJAF), a project of Tides Advocacy, is a nonprofit organization building power for and with communities of color to end gun violence. We were formed by activists and survivors of gun violence to help support and empower communities directly impacted by violence. CJAF focuses full-time on building power and infrastructure to end gun violence in communities of color. We do this by creating organizing and communications strategies that engage and empower communities that are most impacted by gun violence.
CJAF is hiring an Executive Coordinator. This will be a consultant contract position with the ability for full-time employment. The Executive Coordinator acts as a gatekeeper for the Community Justice Action Fund. They are responsible for oversight and coordination of all activities including strategic scheduling; booking travel for members of the senior management team; managing logistics related to staff meetings; monitoring and ordering supplies. The Coordinator will also support the leadership team in strategy development, project management, and implementation of program work plans.
Reporting to the Executive Director and working closely with the Advocacy Director, the primary responsibilities of this position will be to manage the ED and Advocacy Director, own the administrative and operations functions listed below, and create an environment where senior leaders and staff are able to focus on their responsibilities.
RESPONSIBILITIES
· Strategically prioritize and schedule meetings, calls, appointments, as well as arrange the travel and accommodations for members of the senior management team;
· Submit expense reports and PTO requests on behalf of management team members;
· Field, assess, and respond to requests and inquiries;
· Oversee the logistics for community trainings;
· Prepare daily scheduling/update reports;
· Ensure employment records and vendor/consultant contracts are maintained, maintaining a vendor database
· Manage monthly payments to vendors
· Coordinate monthly expense reports for all employees
· Oversee all invoices to ensure timely payment
· Oversee RFP process (drafting, coordination of vendor submissions, and assisting with evaluations)
· Support the compliance team and Executive Director in preparing financial statements, reports, memos, invoice letters, and other documents
QUALIFICATIONS
· One to two years of administrative experience preferred;
· Intermediate skill level in Microsoft Word, Excel, PowerPoint and Outlook as well as Google Suite, including Google Calendar, Google Docs, and Google Sheets required;
· Strong organizational skills and attention to detail;
· Excellent interpersonal and communication skills – verbal communication, written, analytical skills, including proofreading skills;
· Must be a self-starter with the ability to take initiative, be able to work independently, and be a team player;
· Ability to work well under pressure to meet deadlines, multi-task, make sound judgments, and prioritize work assignments;
· Commitment to work collaboratively and respectfully toward resolving obstacles and/or conflicts
