JOB TITLE: Operations Associate

Location: This position must be located in our office in Washington DC, Sacramento CA or Long Beach CA.


JOB SUMMARY:

We are looking for an Operations Associate to join our growing consulting agency. This job is part executive assistant, part HR manager, part operations and part compliance. This person will play an integral role in our operation, working with organizational leadership and outside clients. The ideal candidate will be a detail-oriented self-starter with strong communication and organizational skills.

Duties are as follows:

  • Scheduling: Scheduling is strategy. With the strategic priorities of our clients and the firm, you will help manage the partners daily schedules, push them to meet the needs of clients and coordinate the needs of the team. 

  • Communications hub: You'll manage the partner's email inbox and make sure emails, texts, calls, voicemail and mail are received and responded to promptly and warmly—or set realistic expectations if responses will take a little while.

  • Administration: You'll book flights, file expenses, process invoices and most importantly develop processes where processes need to be developed. 

  • Internal Accounting and Auditing: you will process and pay bills, make deposits into the bank, organize financial records, and be an internal clearing house for expenses. 

  • Human resources: Assists with full-cycle HR duties, including recruitment, onboarding, reviews, employee relations, benefits administration, compliance reports, and exit interviews. Maintains payroll, benefits information, assisting with open enrollment, answering benefits questions, and escalating as needed. Serve as main point of contact to staff for HR-related questions.

  • Research, briefing, notes, and follow-up: You'll prepare (or request and collect) memos for key events, calls, and meetings. You will ensure that every internal meeting that is being scheduled has an agenda and a report prior to the meeting otherwise it is cancelled and rescheduled. 

  • Special Projects: you will assist the partners on other tasks as needed -- for example, preparing presentations, assessing organizational best practices, and managing planning processes, perhaps working primarily with other staff as the partners directs.




Required Expectations

You must have excellent verbal, written and analytical skills. A great planner, a task master that is able to deftly get projects done and stay calm under immense pressure. On day one you will be ready to roll-up-your-sleeves, leave your ego at the door and collaborate with a great team to accomplish amazing things. 


Preferred Expectations

Demonstrated experience with QuickBooks, NGP, Google suite, Excel and EveryAction.


You have served multiple election cycles working in compliance or operations. You have a demonstrated ability to think ahead, a commitment to data-driven solutions and an entrepreneurial spirit that consistently looks for novel ways to approach problems. 


Previous position as a scheduler, operations or compliance person.
