The Program Operations Coordinator position is a unique opportunity for a passionate individual to be part of the movement to fight climate change. This position is part of the Program Operations Team and is responsible for managing the administrative, communication, and project management needs of the Program Department. The Operations Coordinator plays a critical role in ensuring the Operations Team and broader Program Department have the capacity needed to deliver our ambitious goals.

This position will be based in Oakland, CA and will report to the Program Operations Manager based in Washington, DC.

This role will be responsible for:

  • Operation Analyzing & Coordination - Analyze, communicate, and assist the POM in establishing, altering systems, protocols, and procedures for all of the Program staff to foster a more streamlined and productive department; Support Program Staff in properly following administrative procedures like reconciling funds, paying contractors, managing accounts, databases and other administrative tasks; Coordinate the onboarding of new Program Staff; Be available to fulfill assignments in the field, such as ship tour and action camp support; Work with operations teams in Development and Administration to provide organizational support and share organizational knowledge.
  • Global and Domestic Project Coordination – Participate as the Operations member on 1-2 campaign teams, Mentor project leaders and campaign directors through financial processes laid out by Operations Management; Oversee logistics for priority project leaders and the relevant campaign directors coordinate across time zones; Provide support for monitoring and evaluation; take on other tasks as assigned.
  • Logistics and Communication - Create and execute weekly e-mail communications to the Department to provide information on meetings, travel, etc; Oversee logistics for trainings, retreats, and events across the Program department; Manage the Program Master Calendar and scheduling of all departmental meetings.

Minimum requirements include:

  • 1-3 years of experience in social change or related organizations;
  • 1-2 years of experience in project management or in campaigning;
  • 2 years of experience understanding and working with project budgets and financial tracking systems.
  • 1-2 years of experience facilitating trainings and large meetings.
  • Ability to work independently and across cultures and time zones;
  • Strong attention to detail with the ability to track and manage multiple projects at one time;
  • The ability to manage up and manage across the organization;
  • A highly motivated person, interested in working in a fast-paced, values-driven environment with the flexibility to do what's needed to get the job done;
  • Demonstrated ability to coordinate and facilitate the completion of large administrative projects in a timely manner, including meeting strict deadlines;

Additional qualifications include, but are not limited to:

  • Excellent written and oral communication skills;
  • Keen attention to detail;
  • Proficiency in Microsoft Excel, Word, PowerPoint, and Prezi;
  • Excellent judgment, discretion, and diplomacy;
  • A high level of energy and enthusiasm;
  • Experience working in an organization that relies on a supporter/volunteer base
