DC Action Lab is hiring an Operations Assistant! This is the perfect job for someone who loves social justice AND spreadsheets, and wants to support movement work from behind the scenes. 

About the company:


DC Action Lab is a small but quickly growing company based in Washington, DC. DC Action Lab runs logistics, event production and strategy for small and large progressive and left organizations and campaigns in DC and around the country. Our work spans from running logistics for mass marches to coordinating 500 person conferences and trainings to sustained, long-term direct action campaigns. 


Our work is fast-paced, non-traditional and external-facing, and we're searching for an Operations Associate to join our team full-time to support in our day to day behind the scenes operations. The Operations Associate will report directly to one of the three partners at the company, but will routinely collaborate with the entire staff.


Primary Responsibilities:


Finance (60%)


  1. Data entry into Quickbooks daily (expenses, invoices, etcetera)

  2. Reconcile company's accounts weekly

  3. Manage accounts receivable and payable; track and process all invoices/bills, reimbursements and W-9s for subcontractors, independent contractors and vendors

  4. Produce profit and loss statements per project upon completion

  5. Deposit all checks

  6. Create weekly accounting report for partners 

  7. Assist with annual tax filings and internal audits as requested

  8. Diligent centralized physical and digital record-keeping of all documents outlined above


Office maintenance (20%)


  1. Receive and distribute mail in office

  2. Ensure office supplies are stocked as needed

  3. Schedule meetings for staff/partners as requested

  4. Note-taking during meetings as requested

  5. Printing, formatting and compiling documents and other information as requested by partners 

  6. Liaise with landlord as needed for maintenance of office


Miscellaneous (20%)


  1. Support for client projects as requested by partners

  2. Appreciation (gifts, cards, et cetera) for clients, contractors and vendors

  3. Uploading new information to website weekly

  4. Posting on company's social media accounts as directed by partners


Qualifications

Overall, we are searching for a team-player with concrete operations and administrative experience. Our work is extremely fast-paced, which means that the ideal candidate is someone who is thoroughly organized, communicative and able to juggle multiple budgets and projects. 

Our day to day work also requires interfacing with high-profile clients; so we're searching for someone who is able to be professional, punctual and friendly in an external-facing role. We spend a lot of time together in sometimes stressful environments, so a sense of humor and a positive attitude is a must.

Below, we've detailed a few other core competencies that are important for us:

  1. Self-starter: Able to identify processes and systems for streamlining work and takes initiative to create them and see them through

  2. Extremely detailed: Our company deals with many projects, vendors, clients and budgets small and large. It's important for our new team member to be meticulous, attentive, and very comfortable with Quickbooks, spreadsheets and numbers

  3. Nimble: Because of the nature of our work, we do a lot of rapid-response work on a week or a day's notice. Sometimes our entire staff will be pulled into this work. We're searching for someone who can adapt to shifting schedules, pitch in with client support as needed and is comfortable with some non-traditional working hours

  4. Values-driven: It's incredibly important for our entire team to be rooted in our collective values. We love people that genuinely care about the city we live and work in, treat every single person whether it's a client or a subcontractor with respect, and are passionate about creating a healthier, more equitable world for us all to thrive in.   5. Planner: We use a central project management system and it's expected for each staff member to maintain their task list daily. Additionally, we ask for a weekly work-plan and a 6 month work-plan to ensure that our workloads are in sync

Location:

The company has an office two blocks from the U St Metro in Washington, DC. This position requires being on site, with occasional travel to client meetings/events in other cities, or other locations within DC. 

Work environment:

Our office has a set of steps to enter it. Our work often requires meeting with and being around many people, in sometimes loud environments. Because of the large volume of events we produce, we often receive and deal with boxes/shipments to move, inventory and unpack.

Benefits:

The guaranteed annual salary for this position is between $45,000 - $50,000 and is full-time and exempt. We offer full health and dental insurance coverage (employee's choice between gold/platinum), and 2 weeks paid vacation with the office closed between Christmas and the New Year.
