Grants and Administrative Associate
Waxman Strategies, a progressive public affairs firm led by former Congressman Henry Waxman, is accepting applications for a Grants and Administrative Associate. We're looking for a talented and highly-organized individual to support our Environment Practice's grant management and financial compliance. You will play a crucial role in ensuring our environmental campaigns and programs are both adequately funded and operationally sound so that our firm can achieve maximum impact.

Much of our environmental advocacy work is conducted in partnership with the non-profit organization Mighty Earth, for which the Grants and Administrative Associate will also provide support.
Desired Background and Responsibilities
Waxman Strategies is looking for a full-time Grants and Administrative Associate to support the Environment Practice's diverse portfolio of environmental clients and grants. This is an excellent opportunity to work with staff across our Environment Practice, as well as key contacts at foundations, governments, and non-profit organizations to ensure that our funding is both well-organized and compliant with rules and regulations. As the Grants and Administrative Associate to the Environment Practice your responsibilities will include:
Facilitating our grant management, reporting and compliance.
Supporting the Director of Finance and Compliance and project directors to provide accurate and timely information for accounting and compliance with donor, federal and state requirements.
Collaborating with the Environment Practice leadership team, development staff and project directors to create and ensure implementation of budgets for new grants.
Working with the Director of Finance and Compliance to provide ongoing analysis of spending to help project directors make efficient and effective use of budgets.
Supervising documentation of expenditures including contracts, personnel hours and expense reports.
Ensuring grantmaking to sub-grantees is done in compliance with requirements.
Supporting and helping to coordinate audit processes with external auditors.
Managing the relationship between the Waxman staff and partner organizations, including Mighty Earth.
Other administrative support, as needed.
Who You Are
You have familiarity with fundraising, grant-making, funder compliance, and grant reporting.
You have a minimum of 2 years of professional experience.
You enjoy working with numbers and are confident in programs like Excel.
You live and breathe details and are highly organized. You are tenacious and see projects through.
You work well on a deadline and can focus on priorities, but also adjust and adapt as necessary in changing situations. You can switch between different projects and tasks on short notice and with grace.
You have strong verbal and written communication skills. You are happy to pick up the phone to call a colleague or walk into their office to sort out an issue and solve problems.
You work well with other people, and are a team player; you also know how to "manage up" across working and management styles.
You have experience with and comfort working with people from a variety of backgrounds, including different ethnic, racial, sexual, and religious orientations.
You can get up to speed quickly on new programs and technology as needed. We use: Microsoft Office, Expensify, Harvest, Basecamp, and Quickbooks, among others.
Preferred Qualifications
You have a passion for environmental and social justice issues.
You have financial experience including working with a budget and balance sheets.
You have experience handling confidential information including payroll information.
You speak Spanish or have other language skills.
