The Operations Manager manages the day-to-day operations of the organization and must be able to juggle multiple tasks with a close attention to detail. This is a full time position and requires a diverse set of skills, attributes and experience. The Operations Manager also manages the Civic Space, an office space shared by three organizations. On an average day, this person could be communicating with partners, updating the website, troubleshooting the printer, working with the bookkeeper and then meeting with the Executive Director. The Operations Manager reports directly to the Operations Director.

We provide shared analysis, goal setting and planning, and coordinate civic engagement and political program work for more than thirty community-based partner organizations. Win/Win Network and Win/Win Action are affiliated 501(c)(3) and (c)(4) entities.
Our partners around the 'table' represent a broad spectrum of interests and constituencies: labor, the environment, women's health and rights, LGBT rights and equality, economic and social justice, communities of color and immigrant rights, and direct service providers.
Responsibilities Include
Operations and Office Management (50%)
- Provide general office management and administrative support
- Update and maintain website content and design
- Create and utilize efficient operational systems
- Manage all aspects of organizational administration, including technology and database maintenance
- Coordinate logistics and materials for board meetings
- Provide overall management of the CivicSpace, including lease, supplies and equipment maintenance
- Manage subtenants, including subleases, ORCA passes, rent, storage, key access
- Manage phone system, office equipment, and conference room rentals
- Maintain the legal separation between c3 and c4 organizations, ensuring compliance with federal, state and city regulations, including annual reports and licenses
- Provide administrative development support to the Executive Director
- Assist with fundraising events, including communications and logistics
- Work with Operations Director to develop and manage organizational budgets and cash flow
- Maintain and ensure compliance with organizational financial controls
- Coordinate with bookkeeper to manage financial information including AR/AP, cash flow, payroll, taxes, and donor/vendor information
- Manage reimbursements, invoices and check requests
- Review, edit and help prepare grant proposals and reports, and oversee preparation of financial reports for funders
- Generate financial reports, as requested
Team/Partner Support (20%)
- Administer employee benefits and organizational insurance
- Manage personnel contracts and invoices
- Coordinate schedule for Executive Director
- Work with HR consultants on benefits plans and processing
- Provide capacity building support and training to partner organizations
- Manage partner communications, including partner meetings and weekly newsletters
Desired Experience and Skills
- Operations experience in political, non-profit, and/or grassroots organizations
- Administrative and budget management skills
- Experience with CRM or donor management system a plus
- Great written communication and editing skills
- Systems-thinker with excellent organizational skills and attention to detail
- Experience with Microsoft Suite including Excel, Word and PowerPoint
- Experience with online communication tools such as Mail Chimp and Survey Monkey
- Flexibility to adjust to dynamic work environment
- Team oriented with collaborative management style
- Proactive, helpful, can-do attitude
- Experience and cultural proficiency working with diverse communities
- Neat, organized, able to work independently and interdependently, with the initiative to achieve complex goals
Compensation and Benefits
This is a full-time, exempt, salaried position (40 hours/week) that requires a willingness to occasionally work outside of normal business hours. The position is based in Seattle, WA with a potential start date of February 29, 2016. Flexible hours and a creative work environment.
Salary: Competitive salary, dependent on experience. Range of $40,000-$45,000/year.
