Job Description

Hand in Hand: The Domestic Employers Network (HIH) seeks a part-time Administrative/Operations Manager to join our national team. The Administrative/Operations Manager will be a key part of the HIH team and play an essential role in bottom-lining core operational issues and supporting the Director and program staff as HIH expands its programmatic and organizing work. The A/OM will manage and coordinate HIH's office operations; coordinate routine financial matters; support fundraising activities; and provide general administrative support.


The position is part-time, 10-15 hours per week, and includes paid time off. HIH is powered by a small staff team and has offices in New York City and Oakland, California. For effective interface with our team, the qualified candidate must be located within easy commute distance of either location, although our ideal candidate will be in New York. Applications will be accepted until the position is filled. The position will report to the Director of Development.

We are in a pivotal moment in the domestic workers and social justice movement as well as in our organizational life. We have new opportunities to impact one of this country's fastest growing industries, through working with tech companies dominating the sector, creative interventions in cultural conversations about care, and critical policy fights.


Key Job Responsibilities


Manage and coordinate office operations, including:

o   Office equipment, supplies and software tools, such as ordering and maintaining equipment, managing upgrades and installations, routine maintenance, billing, staff access, etc. These include HIH's database, online donation portal, email platform, website, social media platforms, telephones, etc.


Manage and coordinate routine finance matters, including:

o   Managing reimbursement requests and payments;

o   Managing credit card reconciliations;

o   Managing financial tracking and compliance materials with HIH's fiscal sponsor;

o   Coordinating with bookkeeper;

o   Managing check requests;

o   Managing timesheets and invoicing;


Assist with fundraising and donor relations, including:

o   Managing and updating tracking tool for institutional funders, grant requests and reports;

o   Processing donations, including managing deposits and updating donor database;

o   Generating monthly acknowledgement letters;

o   Updating donor records (change of address, etc.);


Assist with general human resources issues, such as:

o   Preparing contracts for contract staff;

o   Managing job postings;

o   Assisting with candidate interview scheduling;

o   Disseminating human resource updates to staff;


Provide general administrative support, including:

o   Drafting correspondence;

o   Assisting with staff meeting and HIH retreat scheduling and logistics;

o   Other day-to-day administrative matters.


Required Skills/Abilities

o   Prior significant administrative, operations or finance experience;

o   Excellent written and verbal communication skills;

o   Excellent interpersonal and teamwork skills;

o   Fluency in basic office computer software (Word, Excel) and strong proficiency in other essential platforms (Google docs, DropBox, Paypal)

o   Comfort and ability to learn new technology tools;

o   Experience working with diverse groups of people;

o   Attention to detail;

o   Ability to handle multiple tasks and deadlines;

o   Self-starter who requires minimal supervision;

o   Collegial.


Desired Skills/Abilities

o   Experience working with donor records and databases;

o   Experience with Salesforce and MailChimp;

o   Experience working with a national team;

o   Sense of humor.

Some knowledge of or experience with workers' rights, immigrant rights, women's rights, domestic worker and/or caregiving field issues and/or language proficiency in Spanish will be an added asset for any candidate, but these skills/experience are not required.
