Strategic Operations Coordinator, the Health Initiative (Boston based)

Our new health advocacy campaign seeks a Strategic Operations Coordinator to manage critical organizational operations, including maintaining calendars and scheduling, coordinating travel arrangements, and preparing founders for high-profile interviews and meetings.

Led by two prominent health advocates, our new initiative is working to shift how our country understands, talks about, funds, legislates, and delivers health equitably and sustainably. To do this, we will mobilize a diverse set of influencers in health/healthcare, communities, policy, politics, philanthropy, and academia to build broad engagement around an alternative vision for how we achieve health in this country.

Key Responsibilities:

  • Manage founders' busy schedules to ensure effective and efficient use of time while anticipating and responding to day-to-day developments;
  • Coordinate logistics of founders' meetings and speaking engagements, including responding to meeting requests; coordinating travel arrangements; and developing detailed itineraries;
  • Create and proof presentations and develop concise but thorough briefings and meeting preparation packets for founders' upcoming meetings and speaking engagements;
  • Manage incoming communications including email and phone, and draft appropriate responses;
  • Schedule and plan logistics for internal meetings, coordinating with both on-site and remote staff and organizational partners;
  • Manage administrative needs of the organization;
  • Facilitate communication between founders and potential or current funders and other external stakeholders;
  • Manage vendor relationships, including for carrier and shipping services, supplies, and other management and maintenance needs;
  • Coordinate new hire onboarding orientations;
  • Other duties as assigned.

Qualifications and Skills:

  • Previous experience representing an organizational leader, elected official, CEO or similar high-level principal to external stakeholders;
  • Proactive with a strong attention to detail and comfortable with complex systems;
  • Temperament to work with a variety of personalities in a tactful and professional manner;
  • Professional, prompt, and courteous toward colleagues, funders, and other stakeholders;
  • Organized and able to adapt to changing situations quickly;
  • Ability to manage multiple tasks and prioritize among competing tasks;
  • Strong verbal and written communication skills; 
  • Advanced understanding of MS Office, especially Outlook, Word, and Excel;
  • Interest in health or healthcare issues a plus.
