A State Legislator is seeking an articulate and diligent Scheduler/Receptionist for a Part-Time Immediate Opening!
As the scheduler/receptionist, s/he will be the first point of contact and will provide office administrative and clerical support. S/he will handle the flow of people through the office and ensure that all responsibilities are completed accurately and delivered with high quality and in a timely manner. S/he will also maintain the legislator's official schedule, travel plans and related records. The position also acts as a liaison for the State Legislator with the staff at various events
outside the office.
The scheduler/receptionist reports to the Chief of Staff.
RESPONSIBILITIES:
S/he serve visitors/constituents by greeting, welcoming, directing and announcing them appropriately. S/he will direct constituents/callers by maintaining employee, New York State or agency directories. S/he maintains a safe and clean reception area, as well as maintenance of office supplies inventory. S/he coordinates with the Legislator and Chief of Staff on a daily basis to schedule appointments, meetings, events, and provides detailed itineraries including names, dates, locations and topics to be discussed. Also assists Chief of Staff in scheduling press, interviews, radio and television time.
EDUCATION/EXPERIENCE:
Minimum Associate degree preferred, in applied business or political science with executive assistance or scheduling experience, at least 2 years. At least one year working in a government or corporate setting is beneficial, as well as experience making travel arrangements and reservations. Alternatively, 3 to 5 years of related work experience.
WORKING CONDITIONS:
● Work is mainly performed in an office environment. May have to spend long hours sitting and using office equipment and computer. Light lifting of supplies and materials.
● Ability to work in an open office environment without an expectation of privacy. The scheduler/receptionist may have to manage a number of projects at one time, and may be interrupted frequently to meet needs and requests of constituents, the Chief of Staff or the Legislator. S/he will need excellent organizational, and time and stress management skills to complete required tasks.
● Some travel is required to represent the office at meetings or events. Reliable vehicle transportation is preferred.
● Meet attendance requirements as established by the office.
SALARY:
The position is entry level and salary is commensurate with skills and experience. An excellent benefits package is available.
