Job Title: Assistant Director of Administration

Location: Oakland, CA


The Education Fund is a non-profit partnership between SEIU UHW-West and Health
Industry Employers; on a mission to accelerate the careers of 90,000 SEIU eligible
Healthcare Workers through innovative education and training solutions. We have a
bold strategy to transform the Ed Fund and need a dynamic and innovative person to
lead our Administration Department. This is a new position managing the newly created
department. Here is your chance to put your experience and creative energy to use
helping the Ed Fund deliver the best possible experience to our students.

The Assistant Director of Administration will lead the Administration Department team to ensure
timely and accurate program payments and reporting, develop and implement efficient
and effective internal processes, and serve as an integral member of the senior staff
team. The position is located in the Oakland office and reports to the
Director of Administration.

Essential Job Functions:

  • Manages and oversees the Administration Department including setting/directing department goals, assigning responsibilities, and ensuring compliance with ERISA regulations and internal control directives
  • Supervises Administration Department staff
  • Ensures the timely and accurate coding and payment of program-related invoices
  • Ensures program reports are produced accurately and timely
  • Works with Program Managers to provide fluctuation analyses for inclusion in Board of Trustee reports
  • Coordinates annual internal control audit with outside audit firm, including reviewing results and implementing recommendations as needed.
  • Works with legal counsel to ensure vendor contract compliance with ERISA regulations
  • Negotiates administration vendor contracts
  • Recommends and implements strategies for process improvement and cost efficiency
  • Assigns projects to direct staff
  • Assists with special projects as necessary

Qualifications and Capabilities

  • Bachelors' Degree in Business Administration or Accounting
  • Minimum of 3 years' experience managing staff accountants, administration teams, or similar groups
  • Ability to handle multiple tasks simultaneously within strict timelines/deadlines.
  • Strong analytical mind, interpersonal skills, and ability to work in a changing environment.
  • Strict attention to detail
  • Strong Microsoft Excel and Word skills
  • PowerPoint and Visio skills a plus
  • Experience with Financial Edge and Education Edge a plus
  • Excellent written and verbal communication skills and proven ability to establish strong relationships inside and outside the Fund
  • Strong analytical and problem solving skills. Ability to analyze data, understand trends and develop recommendations for action based on the analysis
  • Ability to delegate to and manage staff
  • Experience working within a non-profit or labor environment.
